Job summary

Eaton’s ANZ Electrical Sector is seeking a Project Coordinator - Prefabrication & Integration PMO, based in Australia. You will support the Project Manager and Engineer teams in coordinating complex modular solutions, from setup to closeout, across internal departments and suppliers.

Your role involves SAP-based controls, procurement workflows, and schedule tracking to ensure on-time delivery and compliant handover of projects.

Qualifications

• Trade, diploma or degree qualification in Business Administration, Project Management, Supply Chain or related discipline, or equivalent industry experience.
• At least two years of experience in project coordination, procurement administration or operations support in electrical, manufacturing, construction or technical environment.
• Experience with manufacturing, fabrication, modular packaging or multi-vendor equipment coordination is highly regarded.
• Hands-on experience with ERP systems, preferably SAP Project Systems and Materials Management.
• Understanding of procurement workflows, purchase orders, invoicing, goods receipting and project cost administration.
• MS Office proficiency (Outlook, Word, Excel, PowerPoint); experience with Microsoft Project, SharePoint, Visio and Adobe Acrobat desirable.
• Strong written and verbal communication, ability to work across internal teams, suppliers and stakeholders.
• Excellent organisation, prioritisation and multitasking skills, with precision under tight deadlines.
• High attention to detail, numerical data handling, and logical problem-solving approaches.
• Collaborative, customer-focused attitude with initiative and ownership for broader project management responsibilities.
• Commercial awareness and interest in developing toward broader project management responsibilities.

Responsibilities

• Deliver project coordination and operational support in accordance with the PMO Delivery Model.
• Assist the Project Manager and Project Engineer with complete project setup, kickoff readiness, baseline administration, and maintenance of project folders and systems.
• Create purchase requisitions and purchase orders in SAP for third-party fabricators, equipment vendors, and site subcontractors.
• Manage and track internal equipment and components shipped to external facilities and third-party yards to ensure on-time delivery.
• Expedite long-lead materials and fabrication milestones with suppliers, updating delivery status logs.
• Assist in tracking financial baselines, monthly costs, and project expenditure against budgets.
• Prepare and verify invoice documentation to enable timely customer invoicing and payment tracking.
• Coordinate goods receipting for manufacturing and subcontractor milestones within project timelines.
• Collect and archive proof of delivery for equipment packages and handover sites.
• Assist in organizing transport logistics, freight bookings, and site delivery notices.
• Maintain and update project schedules, progress trackers, and issue logs for reviews and status reports.
• Coordinate with document controllers to ensure factory test records and compliance docs are in handover packages.
• Support site coordination activities, including inductions, site access forms, and dispatching tools.
• Follow through on closeout processes: close purchase orders, resolve supplier payment discrepancies, archiving per procedures.
