We are seeking a highly organised and proactive Practice Co-ordinator to oversee the day to day operations of a busy specialist practice. This is a diverse and autonomous role suited to someone who enjoys managing patient journeys, coordinating clinical and administrative functions, and ensuring exceptional service delivery.
This position offers flexibility and could suit an experienced Practice Manager, Medical Receptionist, Practice Co-ordinator or Healthcare Administrator seeking casual, part time, full time or job share arrangements.
As the Practice Co-ordinator, you will be responsible for the smooth operation of the practice, supporting both patients and the specialist clinician while ensuring a professional, caring and efficient experience for all stakeholders.
Key responsibilities include:
Managing daily practice operations and workflows
Coordinating patient appointments, surgery bookings and patient communications
Managing incoming calls, emails and correspondence
Liaising with hospitals, anaesthetists, allied health providers and external stakeholders
Processing patient accounts and outstanding invoices
Managing Medicare, MBS and private health fund billing
Reviewing and resolving health fund claim exceptions
Maintaining accurate patient records and data security
Supporting quality improvement and compliance activities
Monitoring practice systems and identifying opportunities for improvement
To be successful in this role, you will bring:
Previous experience working within a specialist medical practice, private hospital environment, or healthcare administration role
Strong knowledge of:
Medicare billing and MBS item numbers
Private health fund claiming processes
Patient billing and account management
Medical administration and practice workflows
The ability to work independently and confidently when the specialist is consulting, operating or off-site
Exceptional organisational and time management skills
Strong communication skills and a professional, compassionate approach to patient care
Excellent computer skills and confidence using practice management software and Microsoft Office
Experience using Gentu practice management software
Experience coordinating surgical lists and hospital bookings
Understanding of quality improvement, accreditation and compliance requirements within healthcare settings
