About the role

Dandenong West Medical Centre is seeking a Part-Time Medical Receptionist to join our welcoming team in Dandenong, VIC. This is a part-time position that plays a vital role in creating a positive first impression for our patients and ensuring smooth daily operations at our practice. As the first point of contact for patients, you will be responsible for managing reception duties with professionalism, efficiency and compassion. This role is essential to our commitment to delivering exceptional patient care and maintaining an organised, welcoming healthcare environment.

What you'll be doing

• Greeting patients as they arrive at the medical centre and providing a warm, professional welcome
• Managing patient check-ins and check-outs, including verifying insurance information and processing patient details
• Scheduling and confirming patient appointments using our practice management system
• Answering and directing telephone enquiries promptly and professionally
• Processing payments and handling cash transactions accurately
• Maintaining patient confidentiality in accordance with privacy legislation and practice policies
• Managing reception area cleanliness and organisation
• Assisting with administrative tasks such as filing, data entry and document management
• Supporting the medical team by preparing patient notes and rooms for consultations
• Handling patient enquiries regarding services, fees and medical records requests

What we’re looking for

• Requirements: previous experience in a customer service and/or administration role.
• Previous experience working in a medical reception environment or similar healthcare setting is highly desirable
• A strong desire to learn and develop professionally
• Strong communication skills with the ability to interact professionally with patients, visitors and staff members
• Excellent organisational and time management abilities to manage multiple tasks simultaneously
• Proficiency in using computer systems and practice management software, or willingness to learn
• A calm, empathetic approach to patient interactions, particularly when dealing with unwell or anxious patients
• Ability to maintain confidentiality and handle sensitive patient information responsibly
• Strong attention to detail and accuracy in administrative work
• Professional presentation and a friendly, welcoming demeanour
• Reliability and commitment to punctuality for all scheduled shifts
• A genuine interest in supporting patient care and contributing to a positive healthcare environment
• Availability: minimum 16 hours per week, mostly afternoon/evening shifts.
