Job summary

Livingstone International Pty Ltd seeks an orderly and proactive Order Entry & Export Logistics Coordinator to join our Sydney team. The role combines customer order processing, export coordination, freight management and administrative support across international shipments.

You will work with customers, freight providers and warehouse teams to ensure orders are processed accurately and delivered on time, while preparing quotations and supporting dispatch activities.

Qualifications

• Experience in order entry, customer service, logistics, freight forwarding, warehouse administration or export coordination.

About the Role

We are seeking an organised and proactive Order Entry & Export Logistics Coordinator to join our team.

This role combines customer order processing, export coordination, freight management and administrative support. You'll work closely with customers, freight providers, warehouse teams and internal stakeholders to ensure orders are processed accurately and delivered on time.

No 2 days are the same. One day you'll be coordinating international shipments, the next you'll be preparing freight quotations, processing customer orders or supporting warehouse dispatch activities.

Key Responsibilities

Order Processing & Customer Coordination

Process customer orders accurately and efficiently

Verify pricing, product information and delivery requirements

Release orders to the warehouse for picking and packing

Monitor order progress through to dispatch

Maintain accurate records and documentation

Generate Proof of Delivery (POD) documentation

Export & International Logistics

Coordinate export shipments from quotation through to delivery

Arrange air freight, sea freight and courier shipments

Prepare export documentation and supporting paperwork

Liaise with international customers regarding shipping requirements

Manage bookings with freight providers and customer-appointed forwarders

Ensure export procedures are completed accurately and on schedule

Obtain freight quotations from multiple providers

Calculate export and freight costs

Prepare customer quotations

Recommend efficient and cost-effective freight solutions

Support sales teams with logistics advice and export cost analysis

Warehouse & Dispatch Coordination

Work closely with warehouse personnel to coordinate fulfilment activities

Conduct product inspections where required

Ensure warehouse teams receive accurate dispatch instructions

Verify shipment documentation and packing requirements

Assist in resolving operational and dispatch-related issues

Administration & Invoicing

Review freight and logistics supplier invoices

Assist with payment processing and approvals

Maintain accurate shipment records and filing systems

Skills & Experience

Experience in Order Entry, Customer Service, Logistics, Freight Forwarding, Warehouse Administration or Export Coordination

Strong communication skills, both written and verbal

Excellent attention to detail and accuracy

Ability to manage multiple priorities and deadlines

Strong organisational and problem-solving skills

High level of accountability and ownership

Positive and team-focused attitude

Highly Desirable

Knowledge of international shipping requirements

Dangerous Goods (DG) experience

Warehouse operations experience

ERP or Warehouse Management System experience
