Circuitwise Group is seeking an exceptional Executive Assistant to support the Group CEO and leadership team across administration, coordination, travel, events and office operations.

You will be a trusted partner, keeping executives organised and focused, while delivering high-standard work in a fast-paced environment. Strong MS Office proficiency, discretion and proactive problem-solving are essential.

Qualifications

  • Significant experience as an Executive Assistant, Senior Administrator or similar role supporting executives.
  • Strong experience preparing executive-level PowerPoint presentations and business documentation.
  • Outstanding organisational skills and attention to detail.
  • Exceptional communication and stakeholder management skills.
  • Proven experience coordinating events, meetings and travel.
  • High levels of professionalism, discretion and judgement.
  • Ability to adapt quickly and remain calm when priorities change.

Responsibilities

  • Executive & Leadership Support: manage complex calendars, prepare presentations, board papers and executive communications.
  • Event & culture: plan leadership meetings, team events and offsite activities; manage venues and suppliers.
  • Office Operations: oversee day-to-day office running, supplies and facilities support; maintain filing systems.
  • Project Integration Support: assist strategic initiatives and coordinate follow-up actions.

About Us

Circuitwise is a leading Australian electronics manufacturing company specialising in complex, high-reliability products for MedTech, Aerospace, Defence and Industrial customers.

As we continue to grow and expand our group of businesses, we are seeking an exceptional Executive Assistant (EA) to support our Group CEO and Leadership Team.

This is far more than a traditional administration role. You will be a trusted partner to the Group CEO, helping to keep priorities moving, ensuring the leadership team operates effectively, and creating the structure, organisation and support that enables the business to perform at its best.

We're looking for someone who notices what others miss, anticipates needs before they arise, and takes pride in delivering work to the highest standard.

About the Role

As EA, you will provide high-level support to the Group CEO and broader Leadership Team across administration, coordination, project support, travel management, events and office operations.

You'll play a central role in keeping our executive team organised, prepared and focused while ensuring the office environment runs smoothly and professionally.

Responsibilities

Including, but not limited to:

Executive & Leadership Support
  • Managing complex calendars, schedules and meeting coordination
  • Preparing professional presentations, reports, board papers and executive communications
  • Supporting leadership meetings through agenda coordination, logistics and follow-up actions
  • Monitoring and coordinating shared inboxes and incoming requests
  • Maintaining highly organised filing systems and confidential records
  • Coordinating domestic and international travel arrangements
Events & Culture
  • Planning and coordinating company events, leadership meetings, team celebrations and offsite activities
  • Managing venues, suppliers, catering and event logistics
  • Supporting employee recognition and engagement initiatives
  • Assisting with onboarding activities for new employees
Office Operations
  • Supporting the day-to-day running of the office
  • Managing office supplies, equipment and vendor relationships
  • Coordinating maintenance requirements and facilities support
  • Ensuring meeting rooms and shared spaces are presented to a high standard
Project Integration Support
  • Assisting with strategic business initiatives and integration projects
  • Maintaining action registers and coordinating follow-up activities
  • Providing administrative support across key business projects
About You

You are highly organised, proactive and solutions focused.

You enjoy being one step ahead, can confidently manage competing priorities, and are comfortable working with senior leaders in a fast-moving environment.

You’ll Bring:
  • Significant experience as an Executive Assistant, Senior Administrator or similar role supporting executives
  • Strong experience preparing executive-level PowerPoint presentations and business documentation
  • Outstanding organisational skills and attention to detail
  • Exceptional communication and stakeholder management skills
  • Proven experience coordinating events, meetings and travel
  • High levels of professionalism, discretion and judgement
  • Strong Microsoft Office capability, particularly Outlook, PowerPoint, Word and Excel
  • Confidence using AI tools and embracing new technologies to improve efficiency
  • The ability to adapt quickly and remain calm when priorities change

A qualification in Business Administration or a related discipline is desirable, along with demonstrated experience in a senior Executive Assistant role for 5 + years.
