The Executive Assistant provides high-level administrative and coordination support to a senior executive and their leadership team.
This role operates in a busy and changing environment where sound judgement, discretion and strong organisation are essential. The Executive Assistant helps the leadership team stay focused, prepared and aligned by managing priorities, coordinating activities and ensuring important actions are followed through.
Key responsibilities
Executive support
- Manage complex calendars, meetings, appointments and competing priorities.
- Monitor and coordinate inboxes, correspondence and action items.
- Arrange domestic and interstate travel when required.
- Anticipate upcoming priorities and ensure the executive is appropriately prepared.
- Handle confidential and sensitive information with discretion.
- Act as a trusted point of contact for internal and external stakeholders.
Leadership team coordination
- Coordinate leadership team meetings, agendas, papers and actions.
- Maintain visibility of key deadlines, decisions and commitments.
- Follow up outstanding actions and help keep work progressing.
- Support communication and coordination across the leadership team.
- Assist with planning sessions, workshops and team events.
Governance and documentation
- Support Board, Committee and governance processes.
- Coordinate the preparation, review and distribution of meeting papers.
- Monitor submission deadlines and ensure documentation is complete and accurate.
- Prepare professional correspondence, reports, presentations and briefing material.
- Maintain appropriate records and document controls.
General administration
- Process expenses, invoices, purchase orders and other administrative requirements.
- Maintain filing, contact and information management systems.
- Coordinate meetings, rooms, technology and catering.
- Identify opportunities to improve administrative processes and ways of working.
- Provide broader support to the executive function when priorities require it.
Skills and experience
The successful candidate will bring:
- Demonstrated experience supporting a senior executive or leadership team.
- Strong calendar, inbox and priority management skills.
- Experience coordinating Board, Committee or governance activities.
- Excellent written and verbal communication.
- Confidence preparing reports, presentations and executive correspondence.
- Strong attention to detail and the ability to follow through on commitments.
- Sound judgement when handling confidential or sensitive information.
- The ability to build effective working relationships across different teams and levels of seniority.
- Advanced Microsoft Office skills.
- Experience with enterprise systems such as SAP would be advantageous.

Working arrangements
This is a full-time temporary opportunity based in Brisbane, with hybrid flexibility available.
The successful candidate will need to be available for the agreed contract period and comfortable working from the office when executive and leadership commitments require it.
