The Health Lodge in Byron Bay is seeking a Clinic Operations Manager to run day-to-day operations, lead the reception team and practice nurses, manage diaries, and own the billing and training systems to deliver a smooth patient experience.

You will implement policies, ensure AGPAL accreditation readiness, and report to the CEO on utilisation, wages and billing. This is a leadership and administration role that rewards proactive system-building and service excellence.

Qualifications

• Experience leading a team in a medical, allied health, wellness or service setting.
• Experience rostering to a wage budget and applying an award.
• Strong systems and administration skills, quickly learning new platforms.
• Medicare billing experience, or ability to learn complex billing rules quickly.

Responsabilités

• Run the clinic daily: opening/closing, patient flow and coverage across reception and nursing.
• Lead, roster and develop the reception team and practice nurses within a wage budget.
• Payroll reconciliation for rosters to staff and practitioner shifts.
• Own booking systems/diaries and fill capacity via waitlists/recalls/rebooking.
• Own billing workflow so Medicare and private services are billed correctly (using Cubiko).
• Be the operational contact for on-site services and partner services.
• Write and embed Training Manual and Reception Policies & Procedures.
• Keep the clinic ready for AGPAL accreditation with Medical Director/Clinical Director.
• Report weekly to the CEO on utilisation, wages, billing and team matters.

The Clinic Operations Manager runs the day-to-day operations of The Health Lodge, an AGPAL-accredited integrative medical centre in Byron Bay. You'll lead our reception team and practice nurses, keep practitioner and IV clinic diaries full, and own the systems, billing and training behind a smooth patient experience. This is a leadership and administration role, not a senior reception role. It suits someone who has led a team in a health, wellness or service setting and loves building systems that people actually use.

Key responsibilities

• Run the clinic each day: opening and closing, patient flow and cover across reception and nursing
• Lead, roster and develop the reception team and practice nurses within an agreed wage budget
• Payroll reconciliation for rosters to staff and of Practitioner shifts to their scheduled days
• Own the booking systems and diaries, filling practitioner, nursing and IV clinic capacity through waitlists, recalls and rebooking
• Own the billing workflow so every eligible Medicare and private service is billed correctly, using Cubiko
• Be the operational contact for our facility services practitioners and partner services on site
• Write and embed the Training Manual and Reception Policies and Procedures
• Keep the clinic ready for AGPAL accreditation with our Medical Director and Clinical Director
• Report weekly to the CEO on utilisation, wages, billing and team matters

About you

• Experience leading a team in a medical, allied health, wellness, hospitality or similar service setting
• Experience rostering to a wage budget and applying an award
• Strong systems and administration skills, and the ability to learn new platforms quickly
• Medicare billing experience, or the ability to learn complex billing rules quickly (training provided)
• Experience writing procedures, training manuals and induction programs
• Warm, calm communication with patients, practitioners and partners
• Sound understanding of privacy obligations for health information
• Current First Aid and CPR (or obtained within the first month) and a satisfactory police check
• You already live within commuting distance of Byron Bay
• Highly regarded: Best Practice, Cubiko or MyMedicare experience, AGPAL accreditation experience, and a background in integrative or complementary health
