At CQ Fibreglass Direct, we're looking for an experienced administrator who takes pride in being organised, solving problems and getting things done.
We're a Yeppoon-based manufacturing business supplying fibreglass ventilation products to the mining industry.
Our operations rely on good communication, accurate information and people who take responsibility for their work. We're looking for someone who can bring those qualities to our administration and business support functions.
This is a hands‑on, varied position working closely with management, production, customers, suppliers and our external bookkeeper.
We're not looking for someone who needs to be constantly directed. We're looking for someone who can take ownership of their responsibilities, manage priorities and confidently see tasks through to completion.
About the Role
You’ll play an important role in keeping our business organised and running smoothly.
Your responsibilities will include:
Business Administration
- Manage day-to-day administration, correspondence, emails and phone enquiries.
- Prepare accurate, professional documents, reports and spreadsheets.
- Maintain business records, registers, databases and filing systems.
- Provide administrative assistance to management and the wider team.
- Prepare accurate delivery dockets and financial supporting documentation.
- Assist with accounts receivable and customer account enquiries.
- Work closely with our external bookkeeper to ensure financial information and requests are communicated accurately and promptly.
- Maintain accurate, organised records to support financial administration.
Operational Coordination
- Assist with freight bookings, transport coordination, customer orders and scheduling.
- Communicate with customers, suppliers, management and production to keep information flowing.
- Monitor outstanding requests, follow up where necessary and ensure tasks don't get overlooked.
- Assist management with meetings, reporting, projects and operational requirements.
Systems and Process Improvement
- Create and maintain Excel spreadsheets, reports and tracking tools.
- Maintain accurate information across business systems.
- Identify opportunities to improve administrative processes.
- Assist with implementing more efficient ways of working.

About You
- Strong previous experience in administration, business support or a similar position.
- Excellent organisational and time-management skills.
- Exceptional accuracy and attention to detail.
- Strong Microsoft Excel, Word and Outlook capabilities.
- Confidence using business systems, with experience in Xero highly regarded.
- The ability to manage competing priorities and deadlines independently.
- Strong written and verbal communication skills.
- Confidence dealing professionally with customers, suppliers and colleagues.
- Good judgement, accountability and a practical approach to problem-solving.
- A willingness to learn, accept feedback and continuously improve.
- Experience in manufacturing, logistics, operational administration or ERP systems such as Odoo would be advantageous.
- A Certificate IV in Business, Business Administration or a related qualification would also be highly regarded.
