You will coordinate daily operations, manage patient bookings and admin, lead front desk activities, support rostering and team meetings, and act as Practice Manager during absences, ensuring efficient Billing, claims and debt management across Carlton, Fitzroy and

Qualifications

• Experience as a 2IC, senior medical receptionist or practice management support in a clinic setting
• Strong customer service, communication and frontline reception skills
• Experience with theatre bookings
• Experience with practice management systems and medical records
• Experience with rostering and staff supervision
• High attention to detail in billing, claims and debt management
• Professional, confidential and team-focused approach
• Proactive mindset — Demonstrates a positive, solutions-focused approach and a willingness to take initiative
• Flexible and adaptable — Easily adjusts to shifting priorities and supports the team wherever needed.
• Experience in women’s health or multi-disciplinary clinics

Responsibilities

• Daily operations support across all clinics
• Patient bookings & admin — managing reception workflow and medical records
• Front desk leadership — overseeing communications and patient experience standards
• Team support — assisting with rostering, performance support and team meetings
• Theatre scheduling and clinician coordination
• Aged debt & claims — managing health fund claims, debt follow-up and reconciliations
• Stock management — ordering supplies and maintaining supplier relationships
• Acting as Practice Manager during planned or unplanned absences
