Brickworks Building Products in Fyshwick, ACT, is seeking an experienced Administration Coordinator to streamline operations across production, sales, logistics and payroll, ensuring timely product delivery and a positive customer experience.

You will handle office tasks, data entry, invoicing, supplier liaison, WHS records and coordination with transport providers, working both independently and with a team in a hands-on timber manufacturing environment.

Qualifications

  • Previous experience in administration, customer service, logistics or similar operational support.
  • Strong administration and organisational skills with ability to manage priorities.
  • Clear written and verbal communication and attention to detail.
  • Experience building relationships with customers, suppliers and internal teams.
  • Basic knowledge of production, logistics, purchasing or payroll processes is desirable.

Responsibilities

  • Manages day-to-day office tasks: phone/email, visitors, supplies, filing and document prep.
  • Supports mill operations with data entry, stock tracking and scheduling.
  • Processes orders, quotes, invoices, deliveries and payment follow-ups.
  • Organises truck deliveries, coordinates transport paperwork and freight tracking.
  • Manages purchasing, supplier invoices and record reconciliation.
  • Assists with timesheets and payroll administration.
  • Maintains WHS, training, licensing and site compliance records.

Job description

About The Role

We’re seeking an experienced Administration Coordinator to join our Fyshwick office. Reporting to the Operations Manager, you will be the key point of contact across production, sales, logistics, procurement and accounts, helping to maintain operational efficiency, support timely product delivery and contribute to a positive customer experience. You will also provide administrative, coordination and communication support to ensure the smooth and efficient operation of the timber mill.

Duties include but are not limited to:
  • Manages day-to-day office tasks, including phone and email communication, greeting visitors, maintaining supplies, filing records, and preparing documents.
  • Supports mill operations by entering production data, tracking timber stock levels, and assisting with production scheduling.
  • Processes customer orders, prepares quotes and invoices, coordinates deliveries, responds to enquiries, and follows up outstanding payments.
  • Organises truck deliveries and pickups, prepares transport paperwork, tracks freight movements, and liaises with transport providers and stakeholders.
  • Orders supplies and consumables, processes purchase orders, and checks supplier invoices against deliveries and records.
  • Assists with timesheets and payroll administration
  • Carrys out invoice processing, accounts payable, payment reconciliation, and bookkeeping tasks.
  • Maintains WHS, training, licensing, contractor, site compliance, and environmental records.
Success Requirements:
  • Previous experience in an administration, customer service, logistics, manufacturing, construction, timber or similar operational support role.
  • Strong administration, coordination and organisational skills, with the ability to effectively manage competing priorities.
  • High attention to detail and a commitment to maintaining accurate records.
  • Clear and professional written and verbal communication skills.
  • Ability to build effective relationships with customers, suppliers, truck drivers, contractors and internal teams.
  • Sound computer skills, including Microsoft Excel and the ability to learn business systems such as JDE.
  • Experience in administration, customer service, logistics, manufacturing, timber, construction or a similar operational environment is highly regarded.
  • Basic knowledge of production, logistics, purchasing, accounts or payroll processes is desirable.
  • Ability to work independently and collaboratively within a team environment.
