Job summary

CookUnity is seeking a Recruiting Operations Specialist to own day-to-day workflows that keep hiring moving across regions. You will coordinate interviews, manage reference checks, and administer Greenhouse while partnering with recruiters and People Operations.

You will drive data quality, reporting, and cross-functional process improvements, balancing hands-on execution with scalable improvements in a fast-paced startup environment.

Qualifications

• 4+ years of experience in recruiting operations or coordination in a fast-paced environment.
• Experience supporting multiple recruiters and managing complex interview schedules across time zones.
• Strong hands-on ATS experience, including workflow configuration, data management, and reporting; Greenhouse experience preferred.
• Excellent organization, attention to detail, and ability to drive process improvements.

Responsibilities

• Own interview scheduling and logistics across departments and time zones, including executive interviews and case presentations.
• Manage the reference-check workflow and coordinate outreach, calls, and forms with recruiters.
• Oversee recruiting administration: requisition setup, job postings, approvals, offers, and handoffs to People Operations.
• Administer Greenhouse ATS and related tools, maintain interview plans, scorecards, templates, and permissions.
• Keep recruiting data accurate through audits and clear standards; resolve data-quality issues promptly.
• Maintain recurring pipeline and CRM reports, surface bottlenecks, and provide actionable recommendations.
• Improve workflows and handoffs, explore automation/AI to reduce repetitive work, test outputs carefully.
• Create documentation and training materials, help teams adopt processes, and partner on cross-functional improvements.
• Handle sensitive candidate and employee information with discretion and in line with data-protection requirements.
