Job summary

The Extended is seeking a highly organized Hotel Sales & Operations Coordinator to support group bookings, hotel sourcing, and contract management. Based remotely in Argentina, you will coordinate with hotels and planners to negotiate rates, track deadlines, and manage room blocks for weddings and corporate events.

The ideal candidate has hotel reservations or group bookings experience, exceptional English, and meticulous attention to detail.

Qualifications

• Previous hotel reservations or group bookings experience.
• Exceptional written and spoken English.
• Outstanding attention to detail when reviewing contracts and rates.
• Strong organizational skills to manage multiple projects and deadlines.
• Proficiency with Google Workspace (Gmail, Sheets, Drive).
• Ability to work independently and overlap US Eastern business hours.

Responsibilities

• Communicate with hotel sales and reservations teams to request group rates, availability, proposals, and contract revisions.
• Draft polished emails and manage ongoing hotel correspondence.
• Follow up on requests, proposals, contracts, and booking confirmations.
• Assist with hotel comparisons, rate negotiations, and proposal preparation.
• Review group contracts for accuracy and track deposits, dates, and cancellation policies.
• Maintain organized contract records and deadlines.
• Oversee day-to-day management of hotel room blocks for events and groups.
• Monitor booking deadlines and allocation, and review reservation pickup reports.
• Provide regular updates on outstanding items and progress.
