Job summary

Winning Assistants, Inc. seeks a Spanish-Bilingual Medical Virtual Receptionist for a full-time remote role (40 hours weekly).

The candidate will manage front desk tasks for a California-based physical therapy practice, handling patient scheduling, referrals, intake forms, and high-volume calls in English and Spanish. You will use Jane App and Google Voice to coordinate appointments, follow up with patients, and support clinicians.

Qualifications

• Experience in medical front desk or scheduling roles.
• Fluent in English and Spanish, written and verbal.
• Familiarity with HIPAA and patient confidentiality.

Responsibilities

• Schedule evaluations and follow-up visits using Jane App.
• Contact patients to schedule appointments and coordinate visits.
• Manage waitlists and fill cancellations with available slots.
• Follow up with patients who have not scheduled remaining visits.
• Coordinate provider schedules for efficient appointment utilization.
• Handle 20+ inbound calls daily and manage texts and voicemails.
• Communicate with patients in English and Spanish with empathy.
