Job Summary:

The Recruitment & Onboarding Specialist will be responsible for managing recruitment operations, onboarding processes, and supporting visa/work permit arrangements to ensure a smooth and professional experience for all candidates and new hires. This role is essential in supporting Fluid Codes growth by bringing in the right people and helping them integrate seamlessly into our culture and operations.

Job Responsibilities:

Recruitment

  1. Collaborate with the HR Manager and hiring managers to understand staffing needs and define role requirements.
  2. Create and post job advertisements on relevant platforms (job boards, social media, company website, etc.).
  3. Screen resumes, conduct initial phone/video interviews, and coordinate interview schedules with stakeholders.
  4. Maintain and update the Applicant Tracking System (ATS); ensure consistent and timely communication with candidates.
  5. Track and analyze recruitment metrics such as time-to-fill, cost-per-hire, and source effectiveness.
  6. Develop and maintain a talent pipeline for current and future hiring needs.
  7. Build strong relationships with recruitment agencies and ensure effective coordination.

Onboarding

  1. Oversee all pre-boarding activities including issuance of offer letters, collection of documentation, and background verification.
  2. Coordinate and deliver a structured onboarding process to enhance the new hire experience.
  3. Collect feedback from new hires and suggest improvements to the onboarding process.
  4. Work closely with IT, Facilities, and Hiring Managers to ensure readiness for new employee's first day.
  5. Maintain onboarding checklists and update onboarding materials regularly.
  6. Provide logistical support including travel arrangements, hotel bookings, and other relocation needs as applicable.
  7. Manage the visa and work permit process through relevant government portals and designated service providers such as DMCC portal.
  8. Coordinate medical examinations, EID biometrics, and follow up until residency stamping is completed.

Qualifications & Skills:

  1. Bachelor's degree in human resources, Business Administration, or related field.
  2. Minimum of 5 years of UAE experience in recruitment and onboarding roles.
  3. Familiarity with UAE labor laws and visa procedures is a strong advantage.
  4. Proficiency with ATS and HR software such as ZOHO RECRUIT.
  5. Excellent interpersonal, communication, and organizational skills.
  6. Ability to handle multiple priorities and meet deadlines with a proactive approach.
