Service Advisor – Body and Paint
Al‑Futtaim Automotive, Dubai – Full‑time service advisor responsible for managing the customer journey from vehicle inspection to repair completion.
In this role the service advisor combines technical consultation, repair‑order management, sales support, quality monitoring, and workshop coordination. Success is measured through customer satisfaction, first‑time repair performance, service revenue, compliance, and delivery of Al‑Futtaim operating standards.
Key Responsibilities
- Welcome customers professionally and establish a clear understanding of their vehicle bodywork, paint or mechanical concerns.
- Inspect customer vehicles and document visible damage, repair requirements, and reported concerns.
- Prepare accurate repair orders containing vehicle details, customer requests, inspection findings, and authorised work.
- Explain proposed body and paint repairs, service procedures, estimated timelines, and associated costs.
- Coordinate repair requirements with estimators, technicians, workshop controllers, parts teams, and supervisors.
- Apply Al‑Futtaim customer service standards and operating processes throughout the customer journey.
- Maintain high customer retention by delivering clear communication, reliable follow‑up, and consistent service quality.
- Work toward achieving a Net Promoter Score above the required business threshold.
- Maintain strong Customer Service Value results through professional conduct and timely communication.
- Monitor repair progress and provide customers with accurate updates regarding completion schedules.
- Contact customers promptly when additional damage, parts requirements, or revised repair costs are identified.
- Obtain customer approval before initiating additional chargeable work.
- Recommend relevant body repair, paint protection, detailing, maintenance, and value‑added service packages.
- Support workshop revenue by identifying legitimate upselling and cross‑selling opportunities.
- Ensure recommendations remain appropriate to the customer’s vehicle condition and service needs.
- Monitor first‑response and first‑time‑fix performance to reduce repeat workshop visits.
- Review completed work with the workshop team before arranging vehicle delivery.
- Confirm that approved repairs, quality checks, and final inspections have been completed.
- Explain completed work, warranty conditions, future maintenance needs, and invoice details to customers.
- Follow up with customers after vehicle delivery to confirm satisfaction and resolve outstanding concerns.
- Handle complaints calmly and coordinate corrective action with workshop leadership.
- Maintain accurate customer records, repair documentation, approvals, estimates, and communication notes.
- Follow all business standard operating procedures and administrative controls.
- Apply 5S principles to maintain an organised, efficient, and professional workplace.
- Ensure compliance with automotive workshop health, safety, and environmental requirements.
- Report unsafe conditions, operational risks, and process failures to the appropriate supervisor.
- Participate in technical training, service‑process updates, and certification programmes.
- Keep product knowledge current as vehicle technologies, repair methods, and manufacturer standards evolve.
- Track personal performance against customer satisfaction, productivity, sales, quality, and development indicators.
- Work collaboratively with the wider aftersales team to improve workshop capacity, customer flow, and service outcomes.
Ideal Profile
- Diploma or degree in Mechanical Engineering, Automobile Engineering, Automotive Technology, or a related discipline.
- Between 3 and 6 years of experience as a Body and Paint Service Advisor in a reputable automotive workshop.
- Practical knowledge of automotive body parts, paint processes, collision repairs, and general mechanical components.
- Ability to identify visible damage and understand standard body and paint repair requirements.
- Strong customer service experience with a proven focus on retention and satisfaction.
- Demonstrated sales and upselling ability within automotive aftersales operations.
- Confidence explaining technical faults, repair recommendations, timelines, and costs to customers.
- Familiarity with repair orders, estimates, workshop documentation, and customer approvals.
- Understanding of first‑time‑fix principles, quality checks, and service performance indicators.
- Ability to coordinate effectively with technicians, estimators, parts personnel, and workshop supervisors.
- Knowledge of 5S workplace organisation and continuous improvement practices.
- Familiarity with automotive health, safety, and environmental compliance requirements.
- Strong communication, listening, negotiation, and complaint‑resolution skills.
- Ability to manage several customer cases while maintaining accuracy and timely follow‑up.
- Commercial awareness and the ability to balance customer needs with business objectives.
- Good English communication skills in spoken and written form.
- Arabic or another regional language would be advantageous.
- Professional presentation, accountability, and a customer‑oriented working style.
- Willingness to complete ongoing technical, systems, and service‑process training.
