Job summary

Senior Leave Entitlement Calculation Specialist in the United Arab Emirates (remote) oversees the calculation, validation, reconciliation, and administration of employee leave entitlements to ensure accurate balances, accruals, adjustments, carry-forwards, and leave-related payments in line with contracts and labor regulations.

Collaborate with HR, payroll, finance, and employee services to maintain reliable leave records, resolve discrepancies, and strengthen controls.

Qualifications

• Bachelor's degree in Human Resources, Accounting, Finance, Business Administration, or a related discipline.
• Professional certification in human resources, payroll administration, or employment benefits is advantageous.
• Significant experience in leave administration, payroll operations, HR shared services, or employee entitlement calculations.
• Strong understanding of annual leave accruals, statutory leave categories, prorated entitlements, and leave balance adjustments.
• Experience calculating leave entitlements for employees with different contract types, service periods, and working arrangements.
• Knowledge of leave encashment calculations, final settlement processes, and payroll adjustments.
• Familiarity with UAE labor regulations and relevant employment requirements, with the ability to interpret applicable leave provisions.
• Experience reconciling leave balances across HR information systems, attendance platforms, and payroll records.
• Advanced proficiency in Microsoft Excel, including formulas, pivot tables, lookup functions, and data validation.
• Experience with HRIS, leave management platforms, payroll systems, or enterprise resource planning software.
• Strong numerical, analytical, and problem-solving abilities.
• Ability to investigate complex entitlement discrepancies and explain calculation outcomes clearly.
• Understanding of HR data governance, audit controls, documentation, and employee record confidentiality.
• Excellent written and verbal communication skills.
• Strong organizational skills and the ability to manage recurring calculation cycles and strict deadlines.
• High attention to detail, accuracy, and professional integrity.

Responsibilities

• Oversee the calculation and validation of employee leave entitlements across different employment categories and organizational levels.
• Calculate annual leave accruals based on employment terms, service periods, working schedules, and applicable policies.
• Review sick leave, maternity leave, paternity leave, parental leave, compassionate leave, unpaid leave, and other approved absence categories.
• Validate opening and closing leave balances and reconcile differences between HR systems and payroll records.
• Calculate prorated leave entitlements for new hires, employees leaving the organization, and employees changing employment status.
• Review leave accrual adjustments arising from promotions, transfers, contract amendments, working-hour changes, and periods of unpaid absence.
• Verify leave carry-forward balances, expiry dates, adjustments, and applicable limitations.
• Calculate leave encashment and outstanding leave payments using approved company policies and applicable payroll rules.
• Investigate discrepancies involving leave balances, accrual rates, absence records, and employee service dates.
• Coordinate with HR business partners and payroll teams to resolve complex leave calculation and payment issues.
• Review employee leave histories and supporting records to validate entitlement calculations.
• Monitor leave administration transactions to ensure timely updates and accurate recordkeeping.
• Support periodic audits of leave balances, accrual calculations, and absence management records.
• Prepare leave entitlement reports, reconciliation schedules, exception logs, and management summaries.
• Analyze leave utilization patterns and identify unusual balances, potential data errors, or administrative risks.
• Maintain calculation methodologies, standard operating procedures, and supporting documentation.
• Support the configuration and testing of leave management rules within HR information systems.
• Recommend improvements to leave administration workflows, calculation controls, and reporting processes.
• Provide guidance to HR colleagues and employees on leave entitlement calculations, balance adjustments, and relevant administrative procedures.
• Maintain confidentiality and protect sensitive employee absence and personal information.
