Job summary

Howden Middle East, based in Dubai, is seeking an experienced Sales Support Coordinator for a 4-month contract. The role involves handling AFM inquiries, generating proposals, processing orders, and coordinating with multiple units for timely responses.

Preference will be given to candidates with a valid UAE visa. The ideal candidate will have 3–5 years of related experience, strong communication skills, and proficiency with MS Office and ERP/CRM systems.

Qualifications

• Bachelor’s degree in business management, engineering, technical, or related field.
• 3–5 years of relevant business background, including customer service and inside sales.
• Ability to create and maintain strong relationships with customers, employees, and agents.
• Familiar with UAE VAT principles and shipping terms.
• Proficient in MS Office and ERP/CRM systems.

Responsibilities

• Register customer enquiries in the system and coordinate with units and suppliers.
• Prepare quotes in CRM per internal pricing policy and seek approvals.
• Engage with customers and internal teams to address commercial and technical inquiries.
• Follow up on opportunities and update CRM data accurately.
• Process orders in ERP and issue to manufacturing entities after approvals.
• Create and submit advance payment invoices and coordinate with Finance.
• Prepare reports on AFM opportunities and orders from CRM/ERP data.
• Maintain data folders and email directories per policy.
• Onboard customers and vendors with required documentation.
• Coordinate with customers and trade compliance to obtain approvals for monitored countries.

Howden Middle East, based in Dubai, is looking for an experienced Sales Support Coordinator for a 4-month contract. We are seeking an experienced and well-organized Sales Coordinator to support essential aftermarket (AFM) services for customers in the Middle East region. The successful candidate shall be responsible for handling AFM enquiries, generating proposals, and processing orders. Preference will be given to candidates with a valid UAE visa.

What Will You Do?

• Effectively manage Aftermarket sales by registering customer enquiries in the system, coordinating with various business units/suppliers.
• Prepare quotes in CRM in accordance with the internal pricing policy, and submit them to customers via email or portal after obtaining the necessary approvals
• Engaging with customers, business units, sales managers, and technical engineering to address both commercial and technical inquiries from the customer.
• Constant follow-up on opportunities with customers/agents and updating the CRM with accurate information.
• Review customer orders, process them in ERP, and issue the orders to the respective manufacturing entities after obtaining the necessary approvals.
• Create and submit advance payment invoices to customers, and coordinate with the Finance dept.
• Preparation of reports related to AFM opportunities and orders by collecting the data from CRM and ERP.
• Maintaining all data electronically in folders and email directories as per company policy.
• Customer and Vendor Onboarding after obtaining all required supporting documents as per company policy.
• Coordinating with customers and the Internal trade compliance team to secure the necessary approvals for conducting business transactions with customers located in monitored countries.
• Providing essential support during SOX and financial audits.

Your Experience Should Be...

• Bachelor’s degree in business management, engineering, technical, or related field.
• 3-5 years of relevant business background, including customer service and inside sales, preferably from the same industry.
• Ability to create and maintain strong relationships with customers, employees, and agents.
• Familiar with UAE VAT principles.
• Knowledge of CAD, letters of credit, and shipping Incoterms.
• High moral and ethical standards.
• Proficient in Microsoft Office Products – Word, Excel, PowerPoint, Outlook, Access, Power BI, etc.
• Familiar with Microsoft Business Central ERP and CRM (Sales Logix / Salesforce).
• Strong interpersonal skills – active listener, clear and concise communicator (both oral and written); proven collaboration skills.
• Ability to work in a dynamic environment covering multiple projects/proposals simultaneously and meet deadlines.
