Job summary

Black Pearl Consult is seeking a sales-support and commercial coordination specialist in the United Arab Emirates (Abu Dhabi). You will handle customer enquiries and RFQs, identify appropriate products, source suppliers, obtain quotes, and prepare detailed quotations while coordinating orders.

The role blends technical and commercial aspects of oil and gas product trading, requiring multitasking and accuracy under tight deadlines.

Qualifications

  • Bachelor's degree or diploma in Engineering, Business Administration, Supply Chain, or related field.
  • 3-8 years of experience in oil and gas trading or industrial product trading.
  • Experience in sales coordination, sourcing, costing, estimation, and quotation prep.
  • Familiarity with RFQs, technical datasheets, specs and standards.
  • Experience with ADNOC/major oil & gas customers is preferred.

Responsibilities

  • Receive and review customer RFQs, specs, quantities, delivery and terms.
  • Identify appropriate products, manufacturers, or suppliers.
  • Source oilfield and industrial products locally and internationally.
  • Request and obtain competitive supplier quotations.
  • Compare offers on price, tech compliance, delivery, origin, warranty, terms.
  • Negotiate prices, delivery, payment terms, and commercial deals.
  • Prepare costing sheets, price comparisons, margins, and quotations.
  • Estimate costs from customer specs and technical requirements.
  • Ensure quotations are accurate, competitive, and timely.
  • Follow up on quotations, clarifications, orders, and delivery schedules.
  • Coordinate with suppliers, logistics, procurement, finance, and internal teams.
  • Maintain supplier/customer databases, price records, and order info.
  • Prepare sales reports, RFQ trackers, and order-status updates.
  • Identify alternative suppliers/products when needed.
  • Assist with vendor registration/prequalification and documentation.

This is a sales-support and commercial coordination role. The person will receive customer enquiries and RFQs, identify suitable products and suppliers, obtain competitive prices, calculate costs, prepare quotations, and coordinate customer orders.

The position requires someone who understands both the technical and commercial sides of oil and gas product trading. The person must be able to handle several enquiries at the same time while maintaining speed and accuracy.

Key Responsibilities

The selected candidate will be expected to:

  • Receive and carefully review customer RFQs, technical specifications, quantities, delivery requirements, and commercial conditions.
  • Understand the customer’s requirements and identify the appropriate products, materials, manufacturers, or suppliers.
  • Source oilfield and industrial products from local and international manufacturers and suppliers.
  • Request and obtain competitive supplier quotations.
  • Compare supplier offers based on price, technical compliance, delivery schedule, country of origin, warranty, payment terms, and other commercial conditions.
  • Negotiate prices, delivery schedules, payment terms, and commercial arrangements with suppliers.
  • Prepare detailed costing sheets, price comparisons, margin calculations, and sales quotations.
  • Carry out estimation based on customer specifications and technical requirements.
  • Ensure that quotations are accurate, commercially competitive, and submitted within the required deadline.
  • Follow up with customers regarding submitted quotations, technical clarifications, order status, and delivery schedules.
  • Coordinate with suppliers, logistics providers, procurement, finance, and internal departments to ensure that orders are processed correctly and delivered on time.
  • Maintain accurate supplier and customer databases, price records, quotation histories, and order information.
  • Prepare sales reports, RFQ trackers, quotation trackers, and order-status updates.
  • Identify alternative suppliers and products when the requested items are unavailable or commercially uncompetitive.
  • Assist with customer and supplier vendor registration, prequalification, and supporting documentation.
  • Monitor supplier performance, market pricing, sourcing lead times, and product availability.
  • Support the business development team by identifying new manufacturers, suppliers, and suitable products.
  • Ensure that all activities comply with internal procedures and customer requirements.
Requirements

The ideal candidate should have:

  • A bachelor’s degree or diploma in Engineering, Business Administration, Supply Chain, or a related discipline.
  • Approximately 3-8 years of experience in oil and gas trading or industrial product trading.
  • Practical experience in sales coordination, sourcing, costing, estimation, and quotation preparation.
  • Knowledge of products such as valves, pipes, fittings, flanges, instrumentation, electrical products, mechanical products, rotating equipment, or other oil and gas materials.
  • The ability to read and understand RFQs, technical datasheets, specifications, and material standards.
  • Experience handling enquiries from ADNOC Group companies, EPC contractors, or major oil and gas customers is strongly preferred.
  • Knowledge of Incoterms, international procurement, shipping requirements, and commercial documentation.
  • Experience supporting vendor registration and prequalification processes would be an advantage.
  • Strong Microsoft Excel, Word, and ERP-system skills.
  • Good communication, supplier-negotiation, and customer-coordination skills.
  • Strong attention to detail, particularly when preparing costing and quotations.
  • The ability to prioritize and manage multiple RFQs under tight deadlines.
  • Willingness to work six days per week in Abu Dhabi.
