Responsibilities

• Plan daily vehicle deliveries and ensure units are prepared to customer specifications.
• Coordinate servicing, inspections, cleaning, accessory installation, and final readiness with workshop teams.
• Liaise with drivers, registration teams, insurers, sales staff and external providers to maintain delivery schedules.
• Process registration documents, insurance records, invoices, and delivery paperwork accurately.
• Check documentation before handover and resolve missing information to avoid delays.
• Track preparation progress and provide updates to sales executives and branch management.
• Verify stock availability through inspections and internal systems.
• Arrange demo vehicles for test drives and ensure vehicles are presentable and ready.
• Maintain showroom display standards and coordinate vehicle movements between storage, workshops and delivery locations.
• Maintain records in SAP or ERP systems and support the sales team with delivery status.
• Escalate issues promptly and develop practical solutions to keep commitments.

Role Context

The Sales Coordinator will support the operational flow between completed vehicle sales and successful customer delivery. The role requires close control of documentation, vehicle readiness, registration progress, stock availability, workshop activity, and stakeholder communication. Accurate coordination will reduce delivery delays, prevent documentation errors, improve showroom efficiency, and help provide customers with a smooth ownership experience from order confirmation to final handover.

Key Responsibilities

• Plan daily vehicle deliveries and confirm that each unit is prepared according to customer requirements.
• Coordinate with workshop teams regarding servicing, inspections, cleaning, accessory installation, and final vehicle readiness.
• Liaise with drivers, registration teams, insurers, sales staff, and external service providers to maintain delivery schedules.
• Process registration documents, insurance records, invoices, vehicle clearance certificates, gate passes, and sales paperwork accurately.
• Check documentation before handover and resolve missing information before it causes delivery delays.
• Track vehicle preparation progress and provide timely updates to sales executives and branch management.
• Verify stock availability through physical inspections and internal inventory systems.
• Reconcile vehicle details between showroom records, system data, registration documents, and delivery schedules.
• Arrange demo vehicles for test drives and confirm that each unit is clean, fuelled, presentable, and operational.

• Coordinate vehicle movements between storage areas, workshops, showrooms, registration facilities, and delivery locations.
• Maintain accurate records within SAP or other approved ERP and dealership systems.
• Support the sales team with delivery status, vehicle allocation, registration progress, and stock information.
• Identify potential delays involving documentation, workshop work, vehicle movement, or third-party services.
• Escalate operational issues promptly and help develop practical solutions to keep customer commitments on track.
• Confirm that customer specifications, fitted accessories, registration details, and insurance requirements match the sales order.
• Maintain organized electronic and physical files for vehicle deliveries and completed transactions.
• Follow internal approval controls, operational procedures, and documentation standards.
• Communicate professionally with customers when coordinating delivery appointments or resolving handover-related matters.
• Contribute to error-free delivery performance and improved customer satisfaction across the retail operation.

Ideal Profile

The successful candidate will hold a high school certificate or an equivalent qualification and have at least two years of experience in sales coordination, vehicle delivery coordination, dealership administration, or automotive operations. Previous work within an automotive showroom, dealership, vehicle distributor, or retail mobility business is strongly preferred. Familiarity with UAE vehicle registration, insurance, invoicing, vehicle clearance certificates, and delivery procedures will be highly valuable. Applicants should be proficient in SAP or a similar ERP platform and have strong Microsoft Office skills, particularly Excel.
