Job summary

Castolin Eutectic is seeking a detail-oriented International Purchasing Coordinator to oversee global procurement, including intercompany purchases and third-party supplier relationships. The role involves creating freight purchase orders, processing quotes, negotiating terms, and ensuring accurate shipping documentation.

The ideal candidate has a bachelor degree, at least 3 years of UAE experience, and fluent English, with strong MS Office skills and ERP experience.

Qualifications

• Bachelor degree (or equivalent) required.
• Minimum 3 years UAE experience required.
• Fluent in English.
• Strong MS Office skills including Excel and Word.
• Experience with Microsoft Dynamics ERP is preferred.
• Chinese language proficiency preferred.

Responsibilities

• Review and process incoming inquiries and purchase requests, sending inquiries to relevant suppliers.
• Prepare comparisons of received quotes and make recommendations to requestors, engaging in negotiations as needed.
• Generate purchase orders in the system upon approval, and follow up with suppliers on order acknowledgements and delivery updates.
• Coordinate shipping instructions with suppliers and liaise with logistics for urgent shipments or delays.
• Collaborate with the logistics department to review shipping documents and ensure proper documentation is saved for reference.
• Update the system with shipping details upon receipt of goods, informing requestors and attaching relevant documents.
• Assist the accounting department with invoice discrepancies and vendor payment issues, including updating bank details as necessary.
• Monitor advance payments for third-party suppliers and prepare regular reports on open purchase orders, shipments, and payment lists.
• Provide updated pricing and stock availability information to production and sales departments, as well as maintaining vendor and customer records in the system.
• Support team members during absences and contribute to the overall efficiency of the purchasing process.
