Job summary

A leading manufacturing company in Ras Al Khaimah is seeking an Assistant Operations Executive to streamline supply chain processes. The ideal candidate will coordinate between various departments to ensure efficient order processing, dispatch, and workflow. Responsibilities include processing sales orders, preparing invoices, and ensuring compliance with local regulations. A Bachelor’s degree in Electrical & Electronics, with 1–3 years of relevant experience, is required, along with strong negotiation and communication skills.

Qualifications

  • Minimum 1–3 years of experience in operations, supply chain, or manufacturing coordination.
  • Strong understanding of supply chain principles.
  • Knowledge of local laws and regulations related to trade, shipping, and invoicing.

Responsibilities

  • Process sales orders in line with approved quotations and client purchase orders.
  • Verify client specifications against offers shared by Technical and Application Engineers.
  • Create and update Sales Orders (SO) in the ERP system accurately.
  • Coordinate with the Production Team to monitor material readiness and provide updates to clients.
  • Liaise with Production and Logistics departments to ensure smooth domestic dispatches.
  • Prepare Commercial Invoices and Packing Lists for both export and local shipments.
  • Generate Sales Invoices and Delivery Notes to facilitate warehouse material release.
  • Maintain proper documentation and ensure compliance with local laws and VAT regulations.

The ideal candidate will coordinate with multiple departments to ensure efficient order processing, timely dispatch, and smooth workflow across production, logistics, and after-sales functions. This role requires strong communication, organizational, and negotiation skills, along with a customer‑oriented mindset and attention to detail.

Job Responsibilities
  • Process sales orders in line with approved quotations and client purchase orders.
  • Verify client specifications against offers shared by Technical and Application Engineers.
  • Create and update Sales Orders (SO) in the ERP system accurately.
  • Coordinate with the Production Team to monitor material readiness and provide updates to clients.
  • Liaise with Production and Logistics departments to ensure smooth domestic dispatches.
  • Prepare Commercial Invoices and Packing Lists for both export and local shipments.
  • Generate Sales Invoices and Delivery Notes to facilitate warehouse material release.
  • Prepare monthly estimated billing and assist in monitoring key components such as CCHT motors (WEG), CCHP motors, and other raw materials essential for production.
  • Support after‑sales coordination, including warranty and spare part planning and execution.
  • Assist in production entry support based on critical requirements.
  • Maintain proper documentation, ensure compliance with the local laws and VAT regulations, and support audit readiness.
  • Contribute to the continuous improvement of operational efficiency and communication flow between departments.
Job Requirements
  • Bachelor’s Degree in Electrical & Electronics or a related field (Master’s in Business Administration with Finance/Data Analysis specialization preferred).
  • Minimum 1–3 years of experience in operations, supply chain, or manufacturing coordination.
  • Strong understanding of supply chain principles.
  • Knowledge of the local laws and regulations related to trade, shipping, and invoicing.
  • Excellent communication, negotiation, and customer-handling skills.
  • Strong organizational, time management, and problem-solving abilities.
