Job summary

JAM Event Services is recruiting an experienced Project Systems / PMO Manager to lead the PMO for a large-scale conference and event in the UAE. Build, implement and manage a centralized project management system tracking the masterplan, budgets, schedules, resources and cross-functional workstreams.

You will evaluate platforms (Smartsheet or MS Project) and develop dashboards for leadership while coordinating with design, operations and vendors to ensure on-time delivery.

Qualifications

• Proven experience in Project Systems, PMO, Project Controls or Project Management.
• Hands-on experience building/administering project management systems using Smartsheet and/or MS Project.
• Certification in Smartsheet, MS Project or a relevant project management discipline is an advantage.
• Experience working on large-scale events, conferences, venues, exhibitions or construction projects is highly desirable.
• Strong understanding of PMO fundamentals: project scheduling, resource planning, budget tracking, risk and issue management, reporting and dashboards, and project governance.
• Experience tracking RFP, contractual or compliance requirements is desirable.
• Strong analytical and organisational skills with excellent attention to detail.
• Comfortable working across multiple teams, including design, operations, production, vendors and stakeholders.
• Excellent written and verbal communication skills.
• Ability to translate complex project requirements into clear systems, workflows, schedules and reports.
• Ability to work under pressure and manage multiple priorities within tight project timelines.

Responsibilities

• Design and implement a centralised project management system covering multiple workstreams, including PMO; Design, Build & Operate; Operations; Conference Management; Stakeholder Management; Communications and Marketing Materials; Entertainment; and Vendors and Suppliers.
• Integrate client requirements, production schedules, budgets, resource plans and workstream updates into a single centralised system.
• Develop project dashboards and reporting tools that give leadership clear visibility of progress, risks, milestones, resources and budget status.
• Link RFP and contractual requirements to specific project deliverables and track compliance throughout the project lifecycle.
• Identify gaps, delays, risks and dependencies, and ensure they are clearly flagged and escalated.
• Maintain and continuously update the project management system as scope, timelines and workstreams evolve.
• Establish reporting structures and regular project reporting for senior leadership and the client.
• Provide oversight of data entry, system administration, workflows and automation.
• Train internal team members, stakeholders and vendors on the system and reporting requirements.
• Support effective coordination and communication across multiple project workstreams.
• Ensure project information is accurate, up to date and easily accessible to relevant stakeholders.
