Job summary

emew Clean Technologies UAE Operations team is seeking a Parts Coordinator to ensure seamless parts delivery and client satisfaction. You will coordinate end-to-end parts distribution, manage SKUs and price lists, and oversee PO releases for spare parts in a fast-paced environment.

You'll work cross-functionally with Customer Success, Engineering, Purchasing, Sales and Customers to maintain inventory integrity, quality checks, and accurate pricing across currencies.

Qualifications

• Diploma in Mechanical, Industrial, or a related technical discipline.
• 2–4+ years in technical parts management or engineering spares distribution.
• Advanced MS Excel (VLOOKUP/XLOOKUP, pivot tables) and ERP/MRP or portal-based WMS experience.
• Ability to interpret BOMs, engineering specs, and diagrams.
• Fluent written and verbal English communication.

Responsibilities

• Own end-to-end parts distribution workflows from intake to delivery.
• Maintain stock levels and establish reorder points.
• Review drawings and part numbers for procurement and packaging requirements.
• Support SKU creation and price-list maintenance across parts.
• Coordinate purchase orders within vendor pricing and contract terms.

ROLE PURPOSE & TOP ACCOUNTABILITIES

Purpose of the Role

The Parts Coordinator plays a vital role within the UAE Operations team, ensuring operational continuity, client satisfaction, and timely parts delivery. This role coordinates end-to-end parts distribution workflows, inventory and SKU lifecycle management, price list governance, and oversees the release of purchase orders for spare parts and stock. Acting as an operational bridge between Customer Success, Engineering, Purchasing, Sales, and Customers.

Top Accountabilities (Outright Ownership)

• Spares Coordination: Direct ownership of customer spare parts inquiries from initial intake through root-cause resolution, including preparing and submitting custom quotations for non-catalog items.
• Quality of Parts & Distribution: Defining the minimum inventory stock levels, cycle counting, stock refils, and incoming as well as pre-dispatch quality verification.
• SKU Architecture & Master Pricing Governance: Support SKU creation for all parts and maintenance of the price list and its currency, helping ensure zero pricing or margin errors on customer deliverables.

KEY RESPONSIBILITIES & WORKFLOWS

Global Distribution & Customer Management

• Oversee inbound quality check on goods receiving, inventory staging, secure storage, and dispatch workflows.
• Support the procurement and dispatch teams in verifying compliance with engineering drawings, part numbers, and packaging requirements.
• Maintain stock levels as agreed by the Account Managers and Customer Success team, establish reorder points.
• Review technical requirements with procurement and coordinate for purchase orders (POs) issuance for spare parts replenishment within pre-approved vendor pricing and contract terms.

SKU Architecture & Master Pricing Support

• Support the creation, classification, and maintenance of standardized SKUs across emew equipment, spare parts, and consumable lines. Each plant to have a price list with SKUs before shipment.
• Support the build, audit, and maintenance of the Master Project Price List, updating unit costs, margins, and lead times in response to supplier adjustments and currency fluctuations.
• Support margin and formula audits on customer-facing price lists and formal quotation packages to help ensure commercial accuracy prior to issuance.

CANDIDATE PROFILE & QUALIFICATIONS

Must-Haves (Non-Negotiable Requirements)

• Education: Diploma in Mechanical, Industrial, or a related technical discipline.
• Experience: 2–4+ years of progressive experience in technical parts management, or engineering spares distribution.
• Systems & Data Proficiency: Advanced Microsoft Excel capabilities (VLOOKUP/XLOOKUP, pivot tables, multi-variable logic); demonstrated hands-on competence with ERP, MRP, or portal-based warehouse management systems (training provided on emew's SOS system).
• Technical Literacy: Ability to interpret bills of materials (BOMs), engineering spec sheets, and component diagrams without requiring design engineering intervention.
• Communication: Flawless professional written and verbal English communication skills.
