A leading recruitment firm in Dubai seeks an experienced Office Assistant responsible for managing office operations, providing administrative support, and ensuring efficient communication. Ideal candidates should have at least 2-3 years of relevant experience within the UAE and strong communication skills. Join a dynamic team that values professionalism and organization.
Serve as the first point of contact for all visitors and clients, greeting them professionally and directing them to the appropriate person.
Answer, screen, and direct phone calls and messages in a professional manner.
Manage incoming and outgoing mail, deliveries, and courier services.
Maintain an organized filing system, both physical and digital.
Oversee the day-to-day operations of the office, ensuring a clean, tidy, and welcoming environment.
Manage office supplies inventory, placing orders, and liaising with vendors to ensure adequate stock levels.
Coordinate maintenance and repair of office equipment and facilities, such as printers, air conditioning, and lighting.
Assist with the organization and tidiness of common areas, including the reception and pantry.
Provide administrative support to various teams and senior management as required.
Assist in organizing and scheduling company meetings, workshops, and events.
Prepare and distribute meeting minutes, reports, and presentations.
Perform data entry, transcribe documents, and prepare basic reports as requested.
Assist in the preparation and distribution of internal communications and memos.
Ensure all documents are handled with confidentiality and discretion.
High school diploma or equivalent; a degree or diploma in a related field is a plus.
Minimum of 2-3 years of proven experience as an Office Assistant, Administrative Assistant, or similar role within the UAE.
Strong knowledge of general office procedures and basic accounting principles.
Excellent written and verbal communication skills in English.
