Key Responsibilities
- Coordinate closely with senior leaders, internal stakeholders, and cross-functional teams across multiple business priorities.
- Engage confidently with stakeholders at different levels while maintaining professional judgement, discretion, and appropriate communication.
- Listen carefully during discussions and rapidly convert decisions into clear actions, owners, deadlines, and next steps.
- Maintain structured action trackers and follow up consistently until commitments are completed.
- Anticipate operational or coordination issues before they affect deadlines and recommend practical solutions.
- Handle routine challenges independently while recognizing situations that require escalation to senior leadership.
- Manage complex calendars, meetings, appointments, priorities, and last-minute schedule changes with strong time discipline.
- Coordinate meeting preparation, documentation, action records, and subsequent follow-up.
- Track decisions, deliverables, deadlines, and stakeholder commitments across concurrent workstreams.
- Maintain a high level of accuracy in reports, correspondence, schedules, trackers, and supporting documentation.
- Use advanced Excel tools including formulas, pivot tables, and structured trackers for monitoring, reporting, and analysis.
- Support simple financial and commercial analysis involving budgets, revenues, costs, and business performance information.
- Respond effectively to urgent requests and shifting priorities without compromising accuracy or confidentiality.
- Organize information so that leaders have clear visibility of outstanding actions, deadlines, risks, and required decisions.
- Improve coordination methods, trackers, and working processes to strengthen efficiency and accountability.
- Maintain professional confidentiality when handling commercially sensitive, executive, or internal business information.
Ideal Profile
- Minimum 3 years of experience in coordination, project support, operations, business development, sales execution, leadership support, or a related environment.
- Proven responsibility for deadlines, action tracking, stakeholder follow-ups, or delivery outcomes.
- Strong interpersonal judgement with the ability to understand people, priorities, and changing situations quickly.
- Confident communicator who listens carefully and responds appropriately to both direct and implied requirements.
- Highly organized approach with excellent prioritization and time management.
- Ability to remain composed and productive during urgent, high-visibility, or last-minute assignments.
- Strong attention to detail with consistent accuracy across multiple responsibilities.
- Advanced Microsoft Excel capability, including pivot tables, formulas, reporting tools, and structured trackers.
