Context

The Associate Contract Management Specialist will support contract and commercial activities across energy project execution. Working under the direction of contract managers and in coordination with project directors, project managers, and project teams, the role will assist with contract kick-off requirements, contractual documentation, notices, guarantees, deliverables tracking, commercial correspondence, project risk meetings, change and variation proposals, monthly reporting, and project close-out activities. The position requires strong organization, communication, Microsoft Office skills, and a practical understanding of oil and gas construction project environments.

Key Responsibilities
  • Support the management of project contracts and commercial matters under the direction of contract managers.
  • Liaise with project directors, project managers, and project teams to support contract administration and commercial project requirements.
  • Assist with contract project kick-off activities after contract award.
  • Support preparation and tracking of insurance certificates, bank guarantees, parent company guarantees, contract reviews, contract summaries, required notice lists, deliverables lists, flow-down requirements, and responsibility matrices.
  • Assist in contract review kick-off meetings with project teams to promote contract awareness and clear interpretation of contractual requirements.
  • Support contract managers with relevant contractual, commercial, and project management procedures.
  • Maintain accurate and organized contract records, project documentation, correspondence files, and commercial registers.
  • Assist in preparing contractual and commercial correspondence for clients, project stakeholders, suppliers, subcontractors, and internal teams.
  • Participate in project risk meetings with contract managers and support follow-up actions related to contractual and commercial risks.
  • Assist in developing project change and variation proposals for clients.
  • Compile supporting documentation for change proposals, claims support, variation requests, and commercial submissions.
  • Ensure monthly project reports reflect accurate information on contract status, commercial matters, risks, notices, changes, and key contractual issues.
  • Support contract managers during project close-out by assisting with final documentation, commercial records, contractual deliverables, and close-out correspondence.
  • Undertake ad-hoc contractual and commercial assignments as required by contract management or project leadership.
  • Coordinate with internal functions to obtain required information for contract administration and project controls support.
  • Help maintain a collaborative team environment that supports high morale, cooperation, and timely project delivery.
Ideal Profile
  • ‘Bachelor’s degree’ is preferred.
  • 0-2 years of working experience, preferably in contract management, construction contracting, legal support, project controls, or a similar commercial project role.
  • Working experience in offshore, subsea, or onshore oil and gas projects is preferred.
  • Good technical background with knowledge of the oil and gas construction industry.
  • Basic understanding of contract management procedures, legal documentation, construction contracts, and commercial project administration.
  • Ability to support contractual correspondence, contract records, change documentation, and commercial reports.
  • Strong Microsoft Office skills with fluency in creating and editing documents, spreadsheets, presentations, and project records.
  • Excellent organizational and time management skills with the ability to manage multiple tasks and project deadlines.
  • Strong interpersonal, verbal, and written communication skills.
  • Ability to work effectively in a team environment and support cooperation across contract, commercial, project management, and project controls functions.
  • Detail-oriented approach with the ability to follow procedures, maintain accurate records, and support routine contract management activities.
