Role Context
The Associate Certification Technician will support project certification activities by maintaining accurate records throughout fabrication and inspection processes. The position is responsible for ensuring drawings, Material Certificate Records, inspection requests, NDT results, traceability information, welding records, and testing documentation are progressively captured within approved systems. Reliable certification records are essential for demonstrating that fabricated structures and piping meet project requirements. By compiling documentation as work progresses rather than waiting until project closeout, the technician will help reduce missing records, improve traceability, support faster approvals, and produce complete as-built dossiers for final handover.
Key Responsibilities
- Set up approved project drawings within the certification system accurately and in accordance with established procedures.
- Record drawing revisions and maintain alignment between certification records and current approved documentation.
- Generate Material Certificate Records for applicable fabricated materials.
- Coordinate customer and third-party review and approval of Material Certificate Records.
- Prepare traceability reference tables from approved material certification information.
- Maintain links between materials, drawings, fabrication records, and certification documentation.
- Record Computerized Inspection Requests within the approved system before applicable NDT activities are performed.
- Verify that inspection requests contain the required project and fabrication information.
- Enter Material Traceability Numbers progressively into certification records.
- Cross-check Material Traceability Numbers against approved drawings, material lists, and MCR indexes.
- Maintain accurate traceability between installed materials and supporting certificates.
- Record NDT results in the certification system after receipt and technical review by the NDT Coordinator.
- Ensure NDT information is associated with the correct Computerized Inspection Request and fabrication item.
- Maintain progressive welding certification information within the PCM system.
- Perform daily entry of welding log information, drawing references, NDT results, and material traceability data.
- Review entered data for completeness and obvious inconsistencies.
- Support correction of certification records where discrepancies are identified.
- Compile certification packages covering drawings and applicable inspection and testing records.
- Review welding history and supporting certification documentation required by project procedures.
- Verify inclusion of Material Traceability Number records within certification packages.
- Include applicable NDT documentation and approved examination results.
- Compile Post Weld Heat Treatment records where required.
- Include Positive Material Identification records within relevant certification packages.
- Verify ferrite testing reports where applicable.
- Include hardness testing reports in accordance with project certification requirements.
- Confirm that required documents have been reviewed and signed by relevant parties before customer submission.
- Review certification packages for completeness against project-specific requirements.
- Maintain an organized record of outstanding approvals, signatures, or missing supporting documents.
- Submit completed certification packages to customers and Certifying Authorities for review and approval.
- Track certification package status and coordinate responses where comments or revisions are received.
- Prepare the as-built dossier index in accordance with approved project procedures.
- Compile project documentation against the approved dossier structure.
- Ensure dossier content is arranged systematically and remains fully traceable.
- Prepare original hard-copy dossiers where contract requirements specify physical documentation.
- Produce required electronic dossier copies and verify completeness before final issue.
- Reproduce additional as-built dossier sets according to project requirements.
- Transfer completed hard-copy and electronic dossiers to Project Document Control for final storage and handover.
- Maintain progressive compilation throughout fabrication to minimize closeout delays.
- Support Project Certification Management data entry and record maintenance.
- Apply document control practices to certification files and supporting quality records.
- Work with Quality Control, NDT, Welding, Fabrication, and Document Control personnel to resolve missing or inconsistent records.
- Protect accuracy and integrity of project certification information.
- Maintain safe working practices while performing certification duties within fabrication or project environments.
- Follow applicable quality requirements and established operating procedures.
- Maintain compliance with company business conduct requirements.
- Support project teams with additional certification and dossier activities appropriate to the position.
Ideal Profile
- Minimum Senior High School qualification.
- Minimum 2 years of relevant experience.
- Experience with fabrication, piping, welding, inspection, or project certification documentation is advantageous.
- Ability to maintain detailed records with a high degree of accuracy.
- Familiarity with material traceability concepts and certification documentation.
- Understanding of NDT records and inspection documentation is beneficial.
- Experience entering welding, inspection, or material information into computerized systems is preferred.
- Ability to work with approved drawings, material lists, certification indexes, and inspection records.
- Familiarity with dossier compilation and project closeout documentation is advantageous.
- Ability to verify document completeness before customer submission.
- Strong attention to detail when checking document references, signatures, approvals, and traceability information.
- Good organizational skills for managing large volumes of technical records.
- Ability to work within clearly defined procedures and quality requirements.
- Comfortable receiving guidance and working under appropriate supervision.
- Proficiency in Microsoft Office applications.
- Working knowledge of Microsoft Excel, Word, and PowerPoint.
- Experience with Power BI is beneficial.
- Familiarity with Power Automate is advantageous.
- Experience with Power Apps is useful.
- Proficiency with Adobe Acrobat for electronic document preparation and review.
- Ability to coordinate effectively with Quality Control, NDT, Welding, Fabrication, and Document Control teams.
- Strong commitment to accurate recordkeeping and timely project certification.
