Job summary

West Coast Personnel in Bellville is seeking a detail-oriented Temp Accounts Payable Clerk / Bookkeeper to provide support across four branches. The role focuses on supplier invoice processing, QuickBooks capturing, supplier account administration, and ensuring documentation is up to date.

You will capture invoices in Intuit QuickBooks, process documentation from branches, monitor email for invoices, upload files to Dropbox, and allocate stock purchases to COS accounts in QuickBooks.

Qualifications

• Matric and bookkeeping/administration experience are required.
• 4-5 years' bookkeeping and administration experience.
• Proven Intuit QuickBooks experience is essential.
• Accounts Payable / Creditors experience is required.
• Proficient in Microsoft 365.
• Strong attention to detail and accuracy.
• Good communication skills in English and Afrikaans.
• Ability to work independently and manage admin across multiple branches.
• Must be available for the full 6-week temporary contract.

Responsibilities

• Capture supplier invoices & credit notes in Intuit QuickBooks.
• Process invoices & documentation from branch administrators.
• Monitor the bookkeeper's email inbox for supplier invoices and statements.
• Upload supplier invoices, statements and docs to the shared Dropbox.
• Conduct basic checks on supplier accounts for complete documentation.
• Identify discrepancies between QuickBooks age analysis and supplier statements.
• Liaise with branch admins to obtain outstanding documentation.
• Allocate stock purchases to COS accounts in QuickBooks; training provided.
• Provide AP administration across four branches.
