The Haven Night Shelter Organisation's method is to offer social work services, rehabilitation opportunities, family reunification services, physical care and support to adult people living on the streets who are committed to reintegration. The Haven Night Shelter WELFARE ORGANISATION requires an Executive Assistant to provide support to the Chief Executive Officer.

The Executive Assistant will be based at the Head Office, 2 Napier Street, Cape Town. The Haven is currently looking for an Executive Assistant to be a supportive force who empowers our CEO and senior leadership.

The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This person should have experience working in an office environment, performing administrative duties with progressive responsibility.

Given the dynamic nature of the organisation, we rely on the incumbent to be flexible and consistent while maintaining the confidentiality of high-level systems and operations. The Executive Assistant will report to the Chief Executive Officer.

Minimum Requirements
  1. National Diploma or bachelor's degree in business management or any relevant qualification.
  2. At least three years' experience in an executive level administrative position OR equivalent related work experience.
  3. Excellent interpersonal, verbal and written communication skills including the ability to communicate effectively with a wide range of audiences and professional email etiquette.
  4. Proficiency in Microsoft Office Suite applications, web-based research skills and ability to learn applications and technology.
  5. Experience in writing for development / fundraising campaigns preferred.
  6. Attention to detail and ability to maintain a high level of confidentiality is imperative.
  7. Ability to work independently and as a part of a team.
  8. Ability to build and maintain relationships.
  9. Ability to manage conflict situations.
  10. Being prepared to work outside normal working hours.
  11. Graphic design and web design will be advantageous.
  12. Experience in the NGO sector will be an advantage.
  13. Code 08 driver's licence (non-negotiable).
RESPONSIBILITIES
  1. Provide comprehensive administrative support to the Chief Executive Officer.
  2. Manage the calendar of the CEO daily by coordinating schedules, booking meetings, and providing meeting support.
  3. Actively participate in fundraising and community efforts.
  4. Support the CEO and the fundraising committee regarding fundraising activities.
  5. Be responsible for the administration of Heart of The Haven processes.
  6. Manage the planning and writing of funding proposals / grant in aid (GIA).
  7. Provide support to the Board of Management and liaise with the Board of Management on behalf of the CEO regarding Board and Office Bearers meetings.
  8. Facilitate marketing efforts: produce social media and website content, monitor website analytics and other web-based media.
  9. Responsible for the design and maintenance of the website and all forms of social media messaging.
  10. Exercise expert communication skills including written, visual, and oral.
  11. Prepare and draft correspondence and communications such as the mail champ, monthly newsletters, blogs, information packages and minutes of a confidential nature.
  12. Provide support to the Administrator including performing reception duties and preparation of reports as required by the CEO.
  13. Other projects as assigned / as needed.
