Executive Assistant
Overview
We are recruiting on behalf of our client for an Executive Assistant. Our client is a US-based professional seeking a highly capable individual to support their growing operations, with a particular focus on client-facing communication and relationship management.
This is a senior-level role suited to someone who takes ownership, acts with confidence, and brings genuine warmth and professionalism when working with clients and families through sensitive or high-pressure situations. The successful candidate will work closely with a hands-on principal and must be available during US Eastern Standard Time (EST) business hours.
Key Responsibilities
- Serve as a primary point of contact for clients and families, providing clear, compassionate communication and guiding them through any concerns or issues that arise
- Manage the executive's calendar, scheduling, and correspondence, ensuring nothing falls through the cracks
- Anticipate needs and proactively resolve problems before escalating to the executive
- Coordinate and follow up on outstanding tasks, deadlines, and commitments on behalf of the executive
- Maintain organized records, contact lists, and client information with a high degree of accuracy
- Draft professional emails, summaries, and communications on behalf of the executive
- Identify process gaps and suggest improvements without being asked
Requirements
- Matric (Grade 12) as a minimum; a National Diploma or relevant NQF Level 6 qualification is advantageous
- At least 3 years of experience in an executive assistant, client services, or customer-facing administrative role
- Excellent written and spoken English, with the ability to communicate professionally across all channels
- Reliable high-speed internet connection and a dedicated, professional home office setup
- Demonstrated ability to work independently within US EST business hours
- Strong computer literacy, including proficiency with email platforms, calendar tools, and Microsoft Office or Google Workspace
Preferred Experience
- Prior experience supporting a C-suite executive or high-level principal in a remote capacity
- Background in client relations, case coordination, or working with families in sensitive situations
- Experience working with US or UK-based clients or employers
- Familiarity with CRM tools or task management platforms such as Asana, Monday.com, or similar
