Job summary

West Coast Personnel is seeking a highly organized Marketing Traffic/Project Coordinator to support the delivery of creative projects. The role involves reviewing briefs, allocating work to designers, and coordinating across account management and production teams to meet deadlines.

You will manage project schedules, monitor milestones and proactively address bottlenecks in a fast-paced agency environment, using tools such as Asana, ClickUp or Monday.com.

Qualifications

• Matric certificate or equivalent.
• Minimum 1 year of experience in marketing traffic management, project coordination or production.
• Excellent organizational and time-management skills.
• Ability to manage multiple projects and deadlines in a fast-paced environment.
• Experience with project management software such as Asana, ClickUp or Monday.com.
• Familiarity with collaborative design tools such as Figma and Adobe Creative Cloud.
• Strong communication and interpersonal skills.
• Calm, solutions-focused and diplomatic when addressing challenges.
• Able to work effectively with creative, account management and production teams.
• Good understanding of creative workflows and project delivery processes.

Responsibilities

• Workflow Management: Review briefs, assess studio capacity and allocate tasks to designers/copywriters.
• Schedule Management: Monitor milestones, identify bottlenecks and adjust timelines to keep projects on track.
• Resource Allocation: Balance workloads across the creative team to optimise efficiency.
• Project Coordination: Coordinate communication between account management, creative and production teams.
• Status Reporting: Lead status meetings and keep stakeholders informed.
• Project Management Systems: Update and manage projects on Asana, ClickUp or Monday.com.
• Quality Control: Ensure assets meet specs and pass review stages.
• Deadline Management: Identify risks to timelines and communicate issues.
