Job description

Purpose of the Role

Coordinate project flow, manage resource capacity, and ensure smooth delivery across all teams. Translate briefs into clear schedules, timelines, and priorities. Maintain operational efficiency by unblocking teams, protecting workload balance, and keeping projects on track from planning through completion.

Duties and Responsibilities
Task Coordination and Scheduling
  • Plan, assign, and schedule tasks across production teams, ensuring workloads are balanced and timelines are realistic.
  • Build and maintain detailed project plans, timelines, and dependencies after receiving briefs from Digital Account Managers.
  • Communicate daily priorities, deadlines, and expectations during stand‑ups and team check‑ins.
  • Track progress throughout the day, follow up on outstanding tasks, and adjust schedules proactively to accommodate changes or new priorities.
  • Coordinate with internal teams to ensure all project stages move smoothly through the pipeline.
  • Ensure accurate time logging and task updates to support reliable reporting and forecasting.
Workflow and Resource Management
  • Monitor overall project flow, identifying bottlenecks early and removing blockers.
  • Track resource availability, capacity, and utilisation across teams and escalates conflicts or resource overloading.
  • Review briefs, scopes, and task details to ensure clarity and completeness before assigning to production teams.
  • Uphold and refine internal processes by maintaining Accelo workflows, recommending improvements, and ensuring team-wide adherence.
  • Collaborate with Team Leads to plan upcoming work, anticipate workload peaks, and coordinate across multi‑service projects.
Quality Assurance and Reporting
  • Conduct quality assurance of project briefs, task scopes, and schedules to ensure accuracy, clarity, and alignment with internal processes.
  • Prepare delivery progress, resource utilisation, and scheduling risks reports using Accelo or other internal project management tools.
  • Highlight scheduling risks, delivery blockers, scope misalignment and recommend next steps.
Collaboration and Learning
  • Maintain ongoing communication with internal teams to ensure alignment on priorities, deadlines, and daily expectations.
  • Work with different teams to execute effective, insight-driven work that generates results.
  • Understand how traffic management drives business outcomes, stay current with trends and platform updates, apply insights to improve traffic management strategies, and share learning.
Qualifications, Experience, Knowledge, and Skills
  • Project management degree or related qualification is advantageous.
  • Project Management certification (e.g., Project Management, Agile, Scrum) is advantageous.
  • 2‑4 years of project coordination, traffic management, or digital production scheduling experience.
  • Knowledge of project management workflows, resource planning, and agency delivery processes.
  • Strong analytical thinking, organisational, attention to detail, and collaboration abilities.
  • Excellent project scheduling and resource management skills.
  • Self-motivated and willing to learn new tools and methods.
  • Proficiency in Accelo and Google Workspace.
