Job summary

Pro Talent is seeking an energetic Program Coordinator to support our SME Development team. You will keep systems up to date, produce professional documents, and anticipate team needs. Confidence with AI tools and tech will be a definite advantage.

You will coordinate information, ensure timely reporting across finance and project tracking, and support tender submissions while maintaining accurate records. The role requires strong organisational skills and a proactive, collaborative approach.

Qualifications

• Minimum 3 years' business administration experience.
• Degree or equivalent post-Matric qualification.
• Proficiency in Microsoft Office (Excel for data processing, PowerPoint for presentations).
• Experience using online collaboration platforms such as Microsoft Teams or Zoom.
• Basic working knowledge of AI tools.

Responsibilities

• Maintain accurate stakeholder and contact information according to company protocols.
• Coordinate reporting across finance, resource allocation and project tracking.
• Format and polish internal and client-facing documents to brand standards.
• Coordinate tender submissions and maintain records of CVs, project histories and case studies.
• Process consultant invoices, expense claims and internal charges accurately.
• Keep team documentation, staff CVs and project histories up to date for tenders and reporting.
• Provide proactive administrative support to keep the team focused on client delivery.
• Schedule internal meetings and assist with travel and logistics.
• Assist with administration of team applications, including AI-based tools.
