Job summary

Valatam is seeking a Logistics & Operations Assistant for a 100% remote, full-time position. You will support Operations, Billing, and Customer Communication with attention to detail in a fast-paced environment, working a 9:00 AM - 6:00 PM PST schedule.

Ideal candidates have 2-5 years in operations or admin roles, fluent in English and Spanish, and proficient with project management tools (Asana/Notion/Trello) and CRM/ERP systems. A quiet home office and reliable internet are required.

Qualifications

2-5 years of experience in operations, administrative support or customer-facing roles.
Fluent in English (C1/C2) and Spanish.
Comfortable working independently and managing multiple priorities.
Ability to adapt to evolving or partially documented workflows.
Experience with project management tools (Asana/Notion/Trello).
Familiarity with CRM/ERP or order management systems.
Proficient in Google Workspace and Microsoft Office.

Responsibilities

Execute and monitor administrative tasks across departments, ensuring requests are handled within timelines.
Maintain accurate data entry and update records in CRM and internal systems.
Respond to customer and internal inquiries via email and chat professionally.
Coordinate scheduling, follow-ups, and documentation to keep operations running smoothly.
Ensure customer files and notes are organized and accessible at all times.
Prepare clear, error-free customer-facing documentation and reports.
Identify potential issues or delays and elevate them to the appropriate coordinator.
Other related tasks as needed.
