Job summary

Bullion Shark, a leading rare coin and precious metals dealer in the United States, seeks a Wholesale Operations Coordinator to support our Wholesale Bulk Division from our New York area office. You will act as the operational backbone, handling admin and tracking tasks to enable the sales team to focus on client relationships.

Ideal candidates are detail-oriented, proactive, and thrive in a fast-paced environment, with strong Excel/Sheets skills and excellent communication.

• Comfortable working extensively in Microsoft Excel or Google Sheets.

• Ability to prioritize multiple projects in a fast-paced environment.

Responsibilities

• Provide day-to-day operational support for the wholesale sales team.
• Maintain and update spreadsheets tracking inventory, submissions, and sales activity.
• Track coin grading submissions with companies such as NGC and PCGS and monitor their status throughout the grading process.
• Send follow-up emails to vendors, grading services, and internal team members to ensure submissions remain on schedule.
• Keep accurate records of incoming and outgoing inventory.
• Assist with preparing reports and updating sales and inventory data.
• Coordinate communication between the sales team, operations, and fulfillment departments.
• Ensure customer files, submission records, and documentation remain accurate and organized.
• Assist with miscellaneous administrative and operational projects as needed.
