Job summary

Alchemy is seeking an Accounts Payable Accountant to join our Finance team in a hybrid capacity, based in San Francisco or New York. You will own daily AP activities, including invoice coding, timely payments, vendor support, and reconciliations.

Reporting to the Procurement Manager, you will partner with Accounting and teams across Alchemy to maintain a smooth procure-to-pay process using Zip, NetSuite, and Ramp, while identifying process improvements and ensuring accuracy and compliance.

Qualifications

• 2-4 years of experience in accounts payable or a related accounting operations role.
• Strong understanding of invoice coding, purchase orders, payment terms, reconciliations, and basic accrual accounting.
• Hands-on experience with ERP systems and the ability to learn new P2P and AI tools.
• Proficient in Excel or Google Sheets with lookups and pivot tables.

Responsibilities

• Manage the AP inbox, promptly process invoices and requests, and serve as primary contact for vendors and internal teams.
• Review, enter, classify, and code vendor invoices in Zip and NetSuite, ensuring documentation and approvals.
• Prepare payment batches, monitor deadlines, and follow up on approvals or missing information.
• Maintain vendor records, including tax forms, payment terms, and banking information.
• Investigate discrepancies, duplicate charges, missing credits, and payment issues; escalate when needed.
• Review employee expenses and corporate card transactions in Ramp for accurate coding and policy compliance.
• Reconcile AP with the general ledger and investigate differences.
• Support month-end close with unrecorded invoices and accruals.
• Maintain vendor tax documentation (W-9s) and assist with 1099 preparation.
• Follow approval and payment controls and verify vendor banking changes.
• Keep organized records and provide AP documentation for audits.
• Assist with system updates, workflow improvements, and other procurement/FP&A projects.
