Qualifications

• 3+ years of automotive warranty administration experience in a dealership setting.
• Strong knowledge of OEM warranty policies and procedures.
• Proficiency in dealership management systems (DMS) such as CDK, Reynolds & Reynolds, or similar platforms.
• Attention to detail to ensure clean, compliant repair orders and minimize chargebacks.
• Effective communication and collaboration with service, parts, and manufacturer contacts.

Responsibilities

• Accurately process and submit manufacturer warranty claims in line with OEM policies and timelines.
• Audit repair orders for complete documentation and time stamps to reduce denials and chargebacks.
• Reconcile warranty receivables with payments on the proper accounting schedule.
• Serve as primary contact for all manufacturer warranty matters including audits and inquiries.
• Collaborate with service advisors, technicians, and parts personnel to ensure audit-ready warranty documentation.
• Track warranty parts with repair order numbers and replacement dates; manage disposal timing.
• Arrange for parts shipping to factory/distributor or discard as needed.
• Monitor warranty receivables, aging, and claim status to ensure timely reimbursement.
