The successful candidate will manage purchase orders, coordinate shipping/receiving, and provide sales support while maintaining accurate data and timely communication with customers and vendors.

Qualifications

• Experience in operations, logistics, administration, or related coordination.
• Proficiency with QuickBooks Online and Microsoft Office.
• Strong organizational, multitasking, and time-management skills.
• Excellent written and verbal communication.
• Valid driver's license with a clean driving record.
• Experience with inventory management or shipping/receiving is a plus.

Responsibilities

• Coordinate daily operational activities to ensure smooth workflow across departments.
• Build and maintain relationships with vendors and external partners.
• Create, manage, and track purchase orders in QuickBooks Online.
• Match receipts to purchase orders and resolve discrepancies.
• Receive, process, package, and ship parts for field service engineers.
• Operate a company vehicle for regional pickups and deliveries.
• Assist with expense tracking, reporting, and documentation.
• Provide sales administrative support, including quotes and customer inquiries.
• Respond to customers, vendors, and internal team via phone, email, and in person.
• Prepare reports, analyze data, and provide insights for decisions.
• Maintain the company QMS with Inventory Manager and Director of Laser Technology.
• Perform additional administrative and operational duties as assigned.
