Job summary

Riverbend Veterinary PetCare Hospital in Mountain Island, just 20 minutes from Charlotte, is seeking a skilled veterinary receptionist to be the primary contact for clients and their pets. You will balance administrative precision with warmth in a clinical setting.

Responsibilities include greeting clients, managing appointments and payments, maintaining EMR/PIMS, answering calls, and assisting with end-of-life discussions with sensitivity.

Qualifications

• Minimum 1 year of experience as a veterinary receptionist.
• Experience with veterinary practice management software (Cornerstone, Avimark, ImproMed, eVetPractice, or ezyVet).
• Knowledge of veterinary medical terminology and vaccination protocols.
• Proficiency in appointment scheduling, multi-line phone management, medical records management, and payments.
• Strong customer service and ability to handle high-volume client relations with composure.
• Excellent verbal and written communication; active listening and conflict resolution.
• Comfort with handling animals of varying sizes and temperaments.

Responsibilities

• Greet and check in clients and patients, verify and update medical records, and confirm appointments using management software.
• Answer and manage a multi-line phone system; handle scheduling, refills, and general information requests.
• Process payments, post charges, explain invoices, and schedule follow-ups.
• Communicate medical information compassionately, including euthanasia scheduling and end-of-life discussions.
• Maintain accurate EMR and data entry in the practice management system.
• Coordinate with veterinarians, technicians, and staff to relay messages and manage patient flow.
• Maintain clean, organized reception and waiting areas for a positive client experience.
