Job summary

The Ohio State University’s Veterinary Medical Center is seeking a Veterinary Customer Service Representative. The role supports the daily workflow of the specialty service and serves as the main contact for cases, clients, and referring veterinarians.

You will assist clinicians and staff, schedule appointments, coordinate services, and triage calls, while ensuring clear communication and adherence to VMC policies.

Qualifications

  • 1 year of relevant medical/veterinary office experience with strong verbal and written communication skills.
  • Familiarity with electronic health records.
  • High school graduate or equivalent per CCS guidelines.

Responsibilities

  • Schedules appointments after obtaining all pertinent data.
  • Coordinates necessary services including details related to previous testing or treatment.
  • Assists clients that have been referred from other institutions/rDVMs to coordinate services and provide travel services.
  • Provides knowledgeable receptionist level advice concerning the care and treatment of animals, including questions regarding hospital services, fees, in accordance with VMC policies.
  • Directs other questions, communications, and internal transfers to a veterinarian or other staff members as appropriate.
  • Assists clients in scheduling follow‑up visits and handles electronic communication such as department email and timely delivery of patient discharge summaries.
  • Screens and triages calls to faculty, residents, and staff.
  • Follows established VMC guidelines for communicating with clients in different types of situations, including contacting clients to confirm next‑day appointments with pre‑hospital instructions.

Job Description

The College of Veterinary Medicine seeks applications for a Veterinary Customer Service Representative. The representative will help organize the daily workflow of the specialty service and will serve as the point person for cases seen. The successful candidate will closely interact with clients and referring veterinarians, and provide support to the clinicians, staff members, and professional students.

  • Schedules appointments after obtaining all pertinent data
  • Coordinates necessary services including details related to previous testing or treatment
  • Assists clients that have been referred from other institutions/rDVMs to coordinate services and provide travel services
  • Provides knowledgeable receptionist level advice concerning the care and treatment of animals, including questions regarding hospital services, fees, in accordance with VMC policies
  • Directs other questions, communications, and internal transfers to a veterinarian or other staff members as appropriate
  • Assists clients in scheduling follow‑up visits and handles electronic communication such as department e mail and timely delivery of patient discharge summaries

Scheduled hours are 8:00 am to 4:30 pm Monday - Friday and may require intermittent overtime; the position is subject to completing a background check.

Hiring Range

$18.37 - $23.99

Essential Qualifications
  • 1 years of relevant medical/veterinary office experience with strong verbal and written communication skills
  • Familiarity with electronic health records
  • High school graduate or equivalent per CCS guidelines

  • 2-4 years of relevant medical/veterinary office experience with strong verbal and written communication skills
  • Proficiency with electronic health records
  • Bachelor’s degree

Location: Veterinary Medical Center (0299) Position Type: Regular Scheduled Hours: 40 Shift: First Shift Final candidates are subject to successful completion of a background check. A drug screen or physical may be required during the post offer process.
