Job summary

Ballston Animal Hospital in Arlington, VA seeks a Client Service Representative to deliver an exceptional client experience. The CSR handles reception, records maintenance, appointment tracking and cash handling, while supporting smooth clinic operations.

Reporting to the Practice Manager, the CSR ensures accurate medical records, timely reminders, and courteous communication with clients, Doctors, and staff, contributing to trusted pet care in a friendly setting.

Qualifications

• Weekend work may be required.
• High school diploma or equivalent.
• Previous veterinary experience preferred.
• OSHA safety practices including PPE.

Responsibilities

• Leads practice opening and closing procedures per Practice Manager instructions and practice procedures.
• Maintains clean, welcoming front desk, reception area, waiting area, office and exam rooms.
• Processes cash, checks, card payments and credit accounts.
• Schedules appointments for the clinic adhering to doctor preferences and workflow.
• Updates client/patient files and sends client correspondence.
• Sends reminder notices to clients for periodic notifications; conducts re-calls from a call-back list.
• Posts daily business transactions and ensures accuracy.
• Welcomes clients and patients with a friendly demeanor and ensures a great visit.
• Answers calls with proper telephone etiquette.
• Presents medications and take-home items to clients.
• Handles emergencies with care, following clinic policies.
• Addresses client concerns to ensure satisfaction.
