Job summary

Manchester Veterinary Services is seeking a Client Service Representative to deliver exceptional client care in person and over the phone. You will manage check-in/out, communications, and scheduling while supporting the veterinary team.

The role requires a friendly, empathetic approach, data accuracy, and the ability to handle money and sensitive situations with professionalism. A flexible schedule and hospital teamwork are essential to success.

Qualifications

• High school diploma or equivalent required.
• Veterinary or animal care background strongly valued.
• Basic computer proficiency in email, practice management software, and Office apps.
• Accurate data entry and record-keeping skills.
• Able to perform basic math for billing and scheduling.
• Manual dexterity for typing, filing, and handling supplies.
• Strong written and verbal communication skills.
• Able to maintain composure in high-stress situations.
• Ability to lift up to 40 pounds and handle animals up to 130 pounds.
• Professional, neat appearance consistent with hospital standards.

Responsibilities

• Greet clients and patients warmly with professional, empathetic service.
• Check-in and check-out patients and coordinate with hospital staff.
• Maintain client communications via phone, email, and mail.
• Schedule, confirm, and forward appointments; triage based on urgency.
• Explain hospital services, wellness care, vaccines, diagnostics, and aftercare.
• Handle sensitive situations with tact and professionalism (euthanasia, results, payments).
• Maintain accurate patient records and ensure charges are captured.
• Process end-of-day financial tasks, deposits, refunds, and Care Credit transactions.
• Fill veterinary prescriptions and provide client instructions.
• Assist with over-the-counter product sales and inventory management.
• Support veterinarians, technicians, and Practice Manager with tasks.
• Maintain a clean, safe hospital environment and follow hygiene protocols.
• Participate in opening, closing, and weekend duties as assigned.
• Perform other duties as needed.
