Job summary

CIRCUIT OF THE AMERICAS LLC is seeking a Vendor Relations Specialist to manage vendor onboarding, COIs, and P2P processes at the Austin venue. You will coordinate with internal teams and external vendors to ensure accurate data, timely PO issuance, and compliant vendor practices.

The role emphasizes cross-functional collaboration, attention to detail, and process improvements across a multi-entity procurement environment.

Qualifications

• 2-3 years in high-volume accounts payable, procurement, or supply chain coordination.
• Strong PO processes, basic accounting, and GL coding knowledge.
• Detail-oriented with data integrity focus.

Responsibilities

• Coordinate vendor onboarding and collect key vendor information including banking details.
• Review COIs and track expiration dates to ensure compliance.
• Maintain vendor master file with address, payment method, and ownership changes.
• Verify PO entries for data accuracy and GL alignment before issuing PO.
• Serve as primary P2P contact for vendors on PO and payment statuses.
• Create subsidiary-specific vendor accounts to reflect expenses by entity.
• Conduct regular audits to ensure equal pricing with shared vendors and align with MSAs.
• Provide backup support for P2P team and Director of P2P.
• Support process improvements and automation wherever possible.
