FreshDirect is seeking a Transportation Administrative Assistant to support the Transportation Dispatch Operations under the Senior Support Manager. You will prepare manifests, track assets, and assist in daily scheduling and performance reporting in a fast-paced facility.

The role requires flexibility for early mornings, evenings, weekends, and holidays, and physical ability to lift 50 pounds and work in cold environments. Comprehensive benefits accompany this position.

Qualifications

Brief Description

The Transportation Administrative Assistant, works under the direction of Senior Support Manager and will participate and support all aspects of the Transportation Dispatch Operations to ensure that all paperwork/assets are prepared, functioning, delivered on time to support all Managers and delivery staff.

Responsibilities And Working Conditions

• Support the needs of the business by being available to work flexible hours including early mornings, nights, weekends and/or holidays when necessary
• Clearly communicate relevant operational information to both Senior Management and Teammates, ensuring alignment and clarity in expectations.
• Print and prepare manifests/assets for dispatch in a timely manner, ensuring accuracy and completeness.
• Check in and confirm the return of assets, ensuring accurate tracking and inventory.
• Dispatch routes using TransApp and ensure proper routing information is provided to relevant parties.
• Complete asset reconciliation at the end of each day to ensure accurate reporting and inventory management.
• Monitor and track asset conditions, coordinating necessary maintenance or replacements as needed.
• Enter Depot timesheets for team members in a timely and accurate manner.
• Input parking ticket data into the system to ensure accurate records.
• Print and post weekly schedules for team members, ensuring they are aware of upcoming shifts.
• Post daily performance metrics to monitor operational efficiency and team productivity.
• Ensure proper scanning and tracking of hand trucks and related equipment.
• Process and fill uniform orders as requested to ensure team members have the necessary gear.
• Restock pantry items regularly to ensure availability for staff.
• Maintain and distribute office supplies to ensure smooth daily operations.
• Provide backhaul information to transport truck (TT) drivers to facilitate the timely return of goods.
• Facilitate the transfer of assets and supplies to various cross-docks as needed to ensure operational efficiency.
• Must be able to lift 50 pounds.
• In a workday: standing/walking 6-10 hours or more
• Hand use: single grasping, fine manipulation, pushing and pulling
• Work requires the following motions: bending, twisting, squatting and reaching
• Exposure to FDA approved cleaning chemicals, loud noises, flashing lights
• Constant exposure to temperatures: <-10 degrees Fahrenheit (freezing), 32-40 degrees Fahrenheit (refrigerators)
• Ability to work in a wet and cold environment
• Ability to use tools and equipment, including box cutters, electric pallet jacks, and other heavy machinery
• Ability to work in other areas of the business as needed

Qualifications

• High School Diploma required
• One (1) year customer service experience
• Excellent verbal & written communication skills with the ability to speak clearly and effectively in-person, by phone and other devices
• Possess the ability to summarize incidents in a concise manner
• Integrity, compassion, and a strong work ethic
• Proficiency with Microsoft Outlook and Office
• Accuracy in reporting of information regarding returns and assets
• Excellent time management and follow through skills to complete tasks, drive and continuously improve results.
