Job summary

University of California - San Diego Medical Centers is seeking an Administrative Coordinator to plan and coordinate administrative functions for the post kidney and liver transplant practice. Qualifications

  • Associate's degree or combination of education and experience.
  • Minimum of one (1) year administrative experience in a large, complex healthcare system or relevant experience.
  • Experience performing technical, specialized, complex office administrative work requiring the use of independent judgment.
  • Advanced skill in MS Office: ability to efficiently draft correspondence in Word, create reports in Excel and develop professional PowerPoint presentations and conduct complex calendaring in Outlook.
  • Requires excellent ability to multitask with demanding timeframes.
  • Expert knowledge of medical center processes, protocols and procedures.
  • Advanced political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the Health System and external constituencies.
  • Advanced analytical/problem-solving skills.
  • Advanced service orientation and attention to detail
  • Excellent skills to communicate and influence effectively with all levels of staff, physicians, patients and external constituents, both verbally and in writing.
  • Mid-to large size project management skills.
  • Excellent skills in collaboration, advising and counseling skills.
  • Ability to use a high level of discretion and maintain all confidentiality.

Responsibilities

  • Register patients and coordinate clinic and procedure appointments, authorizations, and billing and insurance eligibility and verification.
  • Serve as an administrative lead and key resource for patients, physicians, staff and care managers.
  • Maintain and monitor the Transplant Database and manage complex calendars for meetings and appointments.
  • Answer and triage incoming calls and prepare clinic notes for referring physicians and medical records.
  • Communicate with faculty, staff, administrators, and external agencies such as insurers and community medical groups.
  • Perform other related duties as assigned.
