Job Overview

The Transaction Coordinator is a key member of the Investor Relations team, responsible for ensuring investments are processed accurately, efficiently, and with the highest level of care. This position manages investor onboarding from initial document review through funding, maintains clean and organized records across systems, and coordinates with both internal stakeholders and external partners to keep transactions on track.

This role contributes directly and meaningfully to the investor experience with BAM Capital. It is a great fit for someone who is naturally organized, detail oriented, stays ahead of deadlines, and takes pride in owning their contributions. They’re comfortable communicating through both phone and email, and bring a sense of professionalism and trust to every interaction.

Primary Responsibilities:

  • Transaction Processing:
  • Review investor subscription documents for completeness and accuracy, confirming all required fields, signatures, and supporting documentation are present.
  • Identify and correct issues such as entity mismatches, missing forms, or incomplete information before moving the transaction to the next step.
  • Ensure all documents are processed in line with BAM’s internal controls, regulatory standards, and recordkeeping procedures.
  • Own the transaction pipeline from document intake through countersignature and funding, serving as the primary source of follow ups for most transactions.
  • Track every in-progress investment, flag delays, and follow up with investors or external parties through phone or email to move transactions forward.
  • Use judgment to escalate issues that could impact timelines or investor experience.
  • Investor Support:
  • Be a front-line point of contact during onboarding, responding to investor questions and coordinating across teams to resolve issues quickly.
  • Place phone calls to clarify next steps, request missing items, or unblock a stalled process.
  • Deliver a professional, accurate, and responsive investor experience, representing BAM Capital in a way that reinforces trust.
  • Data Integrity:
  • Keep investor records clean, consistent, and audit-ready across systems including CRM, investor portal, and internal trackers.
  • Consistently use internal naming conventions, folder structures, and data hygiene practices.
  • Support monthly reconciliations and audit requests by consistently maintaining organized, up-to-date files.
  • Communication:
  • Actively communicate with sales, finance, and IR leadership to ensure timely and accurate processing of investments.
  • Provide quick-turn reporting on deal status and pipeline updates as needed.
  • Contribute to process improvements by identifying bottlenecks and helping update SOPs and training materials.
  • Communicate clearly and professionally with investors and internal stakeholders.

Qualifications

  • Education & Experience:
  • Prior experience in investor relations, private equity, real estate, similar financial services coordination, or client-facing operations role.
  • Familiarity with transaction processing and documentation in a financial services context is preferred.
  • Experience using CRMs is preferred.
  • Data Management:
  • Exceptionally strong attention to detail with a focus on data integrity and accuracy.
  • Proven ability to manage sensitive financial data with care and in compliance with internal procedures.
  • Communication Skills:
  • Confident communicator who is equally confident sending emails and proactively calling investors, advisors, or custodians.
  • Polished, friendly, and accurate written and verbal communication, and the ability to use these skills to move the process forward.
  • Organizational Skills:
  • Highly organized with the ability to manage multiple investor transactions, follow-ups, and internal deadlines.
  • Able to manage competing priorities with clarity and confidence, and escalate appropriately when needed.

  • This position is based in Indianapolis, IN, and requires in-office presence.
