Job summary

Stellae International is seeking a Traffic & Import Assistant to coordinate inbound shipments, track status, and ensure compliance with customs regulations. The ideal candidate will have 1–2 years in logistics or related fields, strong MS Office skills, and an understanding of import procedures. This is an on-site role based in New York.

Qualifications

  • 1–2 years of logistics experience in import/forwarding or supply‑chain admin.
  • Proficiency with MS Office, especially Excel.
  • Associate or Bachelor's degree preferred.

Responsibilities

  • Coordinate and monitor inbound shipments from origin through delivery.
  • Track shipment status and provide updates to stakeholders.
  • Prepare import documents (invoices, packing lists, B/Ls, origin certificates).
  • Work with brokers and carriers to ensure customs clearance.

Stellae International was founded in 1991, with the intention of providing the supply chain solutions the fashion industry desperately needed. Initially it began with the importation of goods for fashion houses looking to build a US market. Through innovative thinking, our founder was able to simplify the way fashion houses shipped their merchandise to the United States. From there, our Import/Export and Logistics platforms were born. It began in a small office with only 5 employees; from there Stellae continued to grow as more and more companies required our services. Since then we have expanded our infrastructure and watched as our clients expanded alongside us. Through the vast changes in technology we have walked side by side with the fashion and luxury goods industry supporting its back office management and now we not only contain large fashion houses among our client list, but fashion startups as well. As the industry grows, so do we, as professionals in the back end of the fashion industry, we grow to provide the solutions and support that the industry needs.

Summary

The Traffic & Import Assistant supports the coordination of inbound shipments and import activities to ensure goods arrive safely, on time, and in compliance with applicable customs regulations. This role works closely with freight forwarders, customs brokers, carriers, suppliers, warehouses, and internal departments to track shipments, maintain accurate documentation, and resolve transportation issues.

Key Responsibilities
  • Coordinate and monitor international and domestic inbound shipments from origin through final delivery.
  • Track shipment status, identify delays, and provide timely updates to internal stakeholders.
  • Prepare, review, and organize import documentation, including commercial invoices, packing lists, bills of lading, certificates of origin, and customs forms.
  • Work with customs brokers and freight forwarders to support accurate and timely customs clearance.
  • Verify shipment details, product classifications, quantities, values, and country-of-origin information.
  • Assist with maintaining tariff classifications, duty records, and other import compliance documentation.
  • Schedule pickups, deliveries, and warehouse appointments with carriers and logistics partners.
  • Review freight invoices, customs duties, accessorial charges, and related transportation costs for accuracy.
  • Investigate and help resolve shipment discrepancies, damaged goods, delivery delays, missing documents, and customs holds.
  • Maintain shipment records, tracking reports, and logistics databases.
  • Support inventory, purchasing, receiving, customer service, and accounting teams with shipment-related information.
  • Communicate professionally with suppliers, carriers, brokers, warehouses, and government agencies as needed.
  • Assist with freight claims and proof-of-delivery documentation.
  • Follow company policies and applicable import, customs, transportation, and trade‑compliance requirements.
  • Identify opportunities to improve shipment visibility, documentation accuracy, and logistics efficiency.
Qualifications
  • Associate or bachelor's degree in logistics, supply chain management, international business, or a related field preferred.
  • 1 - 2 years of experience in logistics, transportation, importing, freight forwarding, customs brokerage, or supply‑chain administration preferred.
  • Basic understanding of international shipping terms, customs documentation, and import procedures.
  • Experience working with freight forwarders, customs brokers, carriers, or third‑party logistics providers is an advantage.
  • Proficiency in Microsoft Office, especially Excel, Outlook, and Word.
  • Experience with enterprise resource planning, transportation management, warehouse management, or shipment‑tracking systems preferred.
  • Strong written and verbal communication skills.
  • Excellent organization, attention to detail, and recordkeeping abilities.
  • Ability to manage multiple shipments and priorities in a deadline‑driven environment.
  • Strong problem‑solving skills and the ability to elevate urgent issues appropriately.
  • Ability to handle confidential business and shipment information responsibly.
