Minimum Qualifications
- Ability and willingness to obtain and maintain all certifications/training required to administer HiSET and other assigned examinations.
- Strong technology skills and ability to learn and use student information systems, testing platforms, scheduling systems, and Microsoft Office applications.
- Excellent interpersonal, organizational, written, and oral communication skills, with strong attention to detail and accuracy.
- Ability to maintain confidentiality, exercise sound independent judgment, and consistently follow standardized testing and security procedures.
- Ability to work effectively with a diverse student population, including adult learners and students receiving approved accommodations.
- Ability to work a flexible schedule that includes some evenings and weekends and to travel to off-campus testing locations, including an area correctional/prison facility.
- Ability to meet all access, identification, background/security, training, and conduct requirements established by correctional facilities and testing partners for assigned off-site testing.
Preferred Qualifications
- Bachelor’s degree preferred from an accredited institution in education, counseling, human services, testing administration, student services, or a related field.
- Experience administering HiSET, placement/CPT, accommodated testing, or other standardized/computer-based examinations.
- Experience working in the North Carolina Community College System or another higher education setting.
- Familiarity with Colleague or comparable student information systems and testing software/platforms.
- Experience working with Accessibility Services and implementing approved testing accommodations.
Bilingual Spanish/English a plus.
Position Description
GENERAL RESPONSIBILITIES
Under the direction of the Dean of Student Success and Director of Testing and Compliance, the Testing Coordinator is responsible for coordinating and administering secure, accessible, and student-centered testing services for the College. The position manages day-to-day testing activities; schedules and proctors a variety of assessments; maintains testing records, materials, and technology; and ensures compliance with institutional requirements and the procedures of testing vendors and partner agencies. Testing responsibilities include, but are not limited to, HiSET high school equivalency testing, accommodated testing, placement testing, CPT testing, and other academic, admissions, credentialing, or career assessments assigned to the Testing Center. The Testing Coordinator works collaboratively with faculty, Accessibility Services, Work Force Development Continuing Education/College and Career Readiness, and other college departments to meet student testing needs. The position requires a flexible work schedule, including some evenings and Saturdays, and regular travel to an area correctional/prison facility to administer HiSET testing in accordance with facility security requirements and testing protocols.
SPECIFIC RESPONSIBILITIES
- Assist in coordination of the daily operation and testing schedule of the College Testing Center, maintaining a secure, professional, accessible, and welcoming environment for students and other examinees.
- Administer and proctor a variety of assessments, including HiSET high school equivalency exams, placement/CPT assessments, accommodated course testing, and other academic, admissions, career, or credentialing exams as assigned.
- Maintain required HiSET examiner credentials and complete all initial and ongoing training necessary to remain qualified to administer HiSET examinations.
- Coordinate and administer HiSET testing at an area correctional/prison facility, following all College, testing-vendor, Department of Adult Correction/facility, security, identification, technology, and test-administration requirements.
- Work a flexible schedule as testing demand requires, including designated evening and weekend testing sessions and off-site testing assignments.
- Collaborate with Accessibility Services and faculty to administer approved testing accommodations accurately and consistently while maintaining student confidentiality and test integrity.
- Schedule testing appointments and communicate testing requirements, identification requirements, preparation information, approved accommodations, location details, and other instructions to students and examinees.
- Greet and assist students and other individuals using testing services and respond to testing inquiries by telephone, email, and in person.
- Maintain current knowledge of testing procedures, vendor requirements, institutional policies, and applicable federal and state requirements related to testing and accommodations.
- Ensure testing rooms, computers, software, calculators, scratch paper, secure materials, and other resources are prepared and functioning prior to testing sessions; troubleshoot routine testing and technology issues and coordinate technical support when needed.
- Maintain accurate testing logs, appointment records, rosters, score reports, incident documentation, and other records required by the College and testing vendors.
- Retrieve, record, securely store, scan/file, and distribute test results as authorized, including entering applicable scores or testing information into College data systems.
- Protect the confidentiality and security of student records, test content, passwords, testing materials, and testing data in accordance with FERPA, institutional policy, and testing-vendor requirements.
- Maintain inventories of testing materials and supplies; distribute appropriate study guides, practice resources, and testing information to students and faculty.
- Serve as a point of contact for HiSET testing questions, score/transcript information, and routine troubleshooting, referring complex issues to the appropriate vendor, College official, or program contact.
- Coordinate with College and Career Readiness/Continuing Education staff, faculty, Accessibility Services, and Student Services to ensure testing needs are scheduled and supported efficiently.
- Provide information and assistance to students using the Testing Center and refer students to appropriate College resources when additional support is needed.
- Assist with preparation for testing-related audits, reviews, and compliance checks and maintain documentation necessary to demonstrate adherence to testing procedures.
- Support College events, special projects, and cross-departmental initiatives as assigned, including providing testing coverage during peak enrollment and registration periods.
- Implement policies established by the Board of Trustees and comply with College procedures, safety expectations, and professional standards.
- Perform other duties as assigned by the Dean of Student Success or Director of Testing and Compliance.
