Job summary

The Williams College Office for Student Involvement and Events is seeking a Temporary Student Involvement & Events Assistant to support ACE, EMS scheduling, and event logistics from August 2026 through October 2026.

This role reports to the Associate Director of Student Centers & Events and collaborates with campus partners to plan and execute student events, tailgates, and traditional activities. The position offers up to 40 hours weekly, is non-benefitted, and pays $21.00 per hour.

Qualifications

  • High school diploma or equivalent with a minimum of 2 years of related experience.
  • Significant proficiency in Microsoft Office and Google Suite; ability to quickly learn EMS Room Scheduler.
  • Strong organizational, budgetary, and problem-solving skills with attention to detail.
  • Excellent written and verbal communication; ability to work independently and collaboratively.

Responsibilities

  • Advise ACE on organization, programming, and budgetary responsibilities with transparent communication.
  • Manage day-to-day operations of EMS Room Scheduler for select spaces.
  • Oversee ACE purchasing card and coordinate billing, invoices, and paperwork.
  • Coordinate logistical arrangements for events, including equipment rentals, catering, permits, and inventory.
  • Manage event registrations and related communications; supervise student workers.
  • Assist with planning and execution of major traditions and Homecoming-related events.
  • Provide administrative support to the Associate Director for Student Centers & Events.

Williams College Office for Student Involvement and Events isrecruiting for a Temporary Student Involvement & EventsAssistant to join their team this fall from August 2026 throughOctober 2026.

The Temporary Student Involvement & Events Assistant will report directly to the Associate Director of Student Centers & Events.

Primary responsibilities include:
  • Advise All-Campus Entertainment (ACE) on organization,programming, and budgetary responsibilities, maintaining opencommunication and transparency with Student Government.
  • Facilitate day-to-day operations of the college's roomscheduler program (EMS) for select spaces.
  • Oversee and manage the ACE purchasing card and coordinatebilling, invoices, and paperwork.
  • Coordinate logistical arrangements for student and OCL events,including equipment rentals, catering requests, permit tracking,supply orders, and inventory.
  • Manage student event registrations, coordinate certifiedhost/server tracking, and handle correlated communications.
  • Manage specialty event processes, such as student tailgatingregistrations for the Homecoming Football game.
  • Assist the Associate Director with the Senior Class EventsCommittee to oversee the annual planning and execution oftraditional events (Senior Fall Formal, 100 Days, and SeniorWeek).
  • Supervise temporary employees for major class programs.
  • Assist with the planning and execution of major OCL-relatedtraditions, including the Purple Key Fair, Student Jamboree,Homecoming, Winter Carnival, and Spring Fling.
  • Provide comprehensive administrative support to the AssociateDirector for Student Centers & Events.
Qualifications
  • Minimum Education/Experience: High school diploma or equivalentwith a minimum of 2 years of related experience, or an equivalentcombination of education and experience.
  • Specialized Knowledge: Significant proficiency in MicrosoftOffice and Google Suite. Ability to quickly learn and utilizespecialized enterprise software (such as EMS Room Scheduler).
  • Core Competencies: Strong organizational, budgetary, andproblem-solving skills with an attention to detail. Ability toapply and interpret college event policies in an equitable, fair,and consistent manner.
  • Communication & Collaboration: Strong written and verbalcommunication skills across multiple methods (phone, email, etc.)to engage effectively with students, external vendors, and campuspartners. Must be able to work both independently and cooperativelywithin a team environment.

Rate of Pay: $21.00 per hour

Working Conditions & Physical Demands
  • This is a temporary, non-benefitted, hourly job. Temporaryemployment does not
  • guarantee future full-time employment at WilliamsCollege.
  • This opportunity offers up to 40 weekly hours for the followingtime period: 08/14/2026-10/30/2026, subject to change ifneeded.
  • This job will operate out of a high-traffic, collaborativeoffice environment in the Paresky Center.
  • Standard office hours are Monday - Friday, 8:30 am - 5:00pm
  • Overtime, evening, and weekend hours will be required atcertain peak points throughout the year to execute on-site eventlogistics.
  • The position requires the physical stamina to work long hoursduring events, the ability to access various spaces across campus,and the ability to handle significant amounts of carrying andmoving of equipment and event supplies.
