Description

Job Summary: The Physical Therapy Front Desk Receptionist greets, instructs, directs, and schedules patients and visitors. This individual verifies insurance benefits for all PT/OT appointments and ensures all visits are properly authorized. They serve as a liaison between patients and PT/OT staff.

Schedule: Mon - Fri: 7:30am - 4:30pm

Hours: 40 hours per week

Essential Duties:
  1. Greet patients and visitors promptly, courteously, and helpfully.
  2. Check in patients, verify and update demographic and insurance information in eCW.
  3. Update the eCW system with patients’ arrival and referral information.
  4. Use eCW to enter co-payments and notes to the Business Office.
  5. Check out patients and schedule follow-up appointments with Physical Therapy providers.
  6. Handle scheduling duties, including incoming calls and managing the clinic and therapist schedules.
  7. Verify and document PT and DME/splint benefits for new patients.
  8. Ensure proper forms and clinical information are submitted to insurance for authorization.
  9. Track authorized PT visits, units, and time limits; inform therapists when additional visits are needed and provide necessary forms.
  10. Create new patient packets including PT benefit verification forms, questionnaires, and prescriptions.
  11. Use eCW to scan and store patient documents.
  12. Collect payments for self-pay and supplies as per fee schedules.
  13. Answer calls, screen messages, and provide information.
  14. Assist patients with ambulatory difficulties.
  15. Respond to visitor inquiries and maintain a neat work environment.
  16. Prepare daily work, including referrals, authorizations, and appointment paperwork.
  17. Coordinate with the Patient Responsible team to collect past due balances.
  18. Attend meetings and perform other duties as assigned.
Minimum Requirements:
  • High School diploma or GED.
  • At least one year of customer service experience.
  • Office experience preferred.
  • Strong communication skills.
  • Proficiency in MS Office and basic computer skills.
  • Knowledge of medical terminology and office procedures is a plus.
